FAQ
What is GO4SCHOOL?
GO4SCHOOL is a complete school management platform that supports schools, school complexes and school networks in their daily operations: pedagogy, finances, communication, human resources, transport, catering and school health. It serves schools, parents, teachers and students, as well as operational staff (cashiers, pedagogical animators, drivers, cooks, nurses, sector supervisors). It also serves the management of a school group, which steers its schools with GO4SINSIGHTS, and network organizations (dioceses, school networks, foundations), which supervise them with GO4SPILOT.
What are the main features of GO4SCHOOL?
GO4SCHOOL covers student and enrollment management, evaluations and report cards, timetables and teacher workloads, schemes of work and the pedagogical statistics followed by animators. On the finance side: school fees with mobile money payments and over-the-counter collection at cash desks, accounting, human resources and payroll, stock and expenses. It adds communication (messaging, flash news, email, push notifications) and SMS (GO4SMS), storage of documents, photos and videos (GO4SDRIVE), the student file shared from one school of the network to the next (GO4SHARE), document generation (report cards, cards, certificates, diplomas), school transport (GO4SFLEET), catering (GO4SCATERING) and the infirmary (GO4SHEALTH). Finally, the Juju AI assistant (GO4SIA), the steering of a school group (GO4SINSIGHTS) and the supervision of a school network (GO4SPILOT) complete the set. GO4SANALYTICS shows who really uses the platform, and the school finds its teachers and pupils on GO4TEACH and GO4LEARN.
What is GO4LEARN?
GO4LEARN is the suite's revision product, separate from school management: pupils revise their class's official curriculum (quizzes, exercises, past papers, timed simulations, mock exams), from primary school to the baccalaureate and up to the entrance exams of the grandes écoles, even offline in the app. It is for pupils, parents, exam candidates and teachers who create content. Only Cameroon is open today. It has its own site, FAQ and terms of sale at go4learn.go4school.net.
Do I need another account or another app for GO4LEARN?
No. One account serves both GO4SCHOOL and GO4LEARN, and GO4LEARN opens inside the GO4SCHOOL app (App Store and Google Play) or on the web. At sign-up you choose the product; an account with both accesses picks its space at sign-in.
Does my school need to use GO4SCHOOL for my child to use GO4LEARN?
No. GO4LEARN works without a school: the parent creates the account, adds up to six children and pays for each one's year. The subscription lasts twelve months from payment, is paid by Orange Money and never renews by itself.
What is GO4TEACH?
GO4TEACH is the AI-assisted lesson preparation product of the suite: teachers prepare their lesson plans, exercises, tests and answer keys from the official curriculum of their class. They sign in with the same account as GO4SCHOOL and GO4LEARN, or create one on a single page (first name, last name, e-mail, phone, the city they teach in, password). Every teacher has 3 free AI actions a day — a question, a lesson plan, a test, a document read: everything the AI does counts; beyond that, they buy AI credits by mobile money, with no subscription. It has its own site at go4teach.go4school.net.
When can I create my GO4TEACH account?
GO4TEACH opens soon. Until then, « Sign in » and « Create my account » lead to a waiting page showing the planned date and the days left, on the site as in the app. Leave your name, e-mail and number there with « Notify me », or from « Be told when it opens » on the site: you will receive one message, on the day the doors open. The GO4TEACH tile of your GO4SCHOOL teacher space leads to the same waiting page; on opening day, your GO4SCHOOL account will be enough to step in, with nothing to create.
What does the GO4TEACH home show?
« Home », at the top of the menu, gathers your day. At the top, « The staff room ». Three counters follow: « AI actions today » (what is left today before your AI credits), « My classes » (how many classes you have and the current course; the tile opens « My classes ») and « My preparations » (your generated sheets). The card of your current class's programme gives the progress against what is expected by this date, what remains before the exam (« Programme coverage », with the catch-up plan when the programme is behind) and, when the class is behind, « Generate a catch-up sheet » on the next lesson; in primary and nursery, it also leads to the daily sheet. Before your first sheet, « Generate my first sheet » prepares it on the next lesson; then « Your latest sheets » lists the five most recent, with those still « To review ». The home also asks you, once, the city you teach in, and reminds you once of « Find my schools » if you skipped it.
In GO4TEACH, do I have to type in again the classes I have in GO4SCHOOL?
No. If your school uses GO4SCHOOL, GO4TEACH's « My classes » page offers your courses of the year, already ticked: untick those you don't want, then click « Take these courses over ». You can also add a class by hand: sub-system, order of teaching, class, stream or speciality when the class has one, subject (optional in primary and nursery) and school year. The current class, chosen in the header or in « My classes », is the one GO4TEACH works on. All of this is also in the mobile app.
In GO4TEACH, where do I find my class's programme and how do I track my progress?
Open « Scheme of work » in the menu: GO4TEACH shows the official programme of your current class for its school year. In secondary, it is the subject's scheme of work, chapter by chapter. In primary and nursery, it is the monthly plan, with the daily sheet (the planned lesson, already chosen). The subject's textbooks and their authors are listed at the bottom of the page. Tick the lessons you have taught: at the first tick, the programme becomes your personal scheme of work, and you can start again from the official programme whenever you want. At the top of the page, the progress compares what you ticked with what is expected by now, and says what this is based on. The count starts from your school's start of year and holidays when your class comes from GO4SCHOOL, otherwise from the first Monday of September. The « Declare a week not held » button takes a lost week (strike, closure) out of the expected. All of this is also in the mobile app. You can also start from last year's scheme of work, a blank page or an Excel file (GO4SCHOOL's template), change it chapter by chapter and add your own textbooks.
In GO4TEACH, how do I prepare my school year?
The year shown is chosen at the top of the page, as in GO4SCHOOL: your classes, timetable and scheme of work are those of that year. Open « My year »: GO4TEACH creates your year from the ministry's official calendar (terms, periods, holidays), kept up to date by the GO4SCHOOL team. You then adjust the dates and add your holidays and periods. At the end of the year, « Prepare next year » carries over your dates moved by a year, your classes, subjects, schemes of work and textbooks: you only add your students and remove what changed.
In GO4TEACH, how do I enter my classes and students?
In « My classes », each class (for example « Tle C 2 ») groups the subjects you teach in it; you can have two classes of the same level. « Add a class » makes a new class; « Add a course », on a class's card, adds a subject you teach in it. Open a class to add its students one by one, or import an Excel or CSV list (last name, first names, sex, date of birth, registration number): GO4TEACH shows it to you before adding it. If your school uses GO4SCHOOL, a linked class shows the school's list.
In GO4TEACH, how do I keep my timetable and class log?
In « Timetable », add your weekly slots (class and subject, day, hours, week A or B, room). GO4TEACH lays them over your year, holidays out. Each session has its class log: what was done, the homework, and the lessons of your scheme of work covered, which are then ticked and move your progress. You can export the timetable to your phone's calendar. In GO4SCHOOL too, a session's class log now ticks the course's lessons.
My school uses GO4SCHOOL: how do I link GO4TEACH without typing everything again?
If your account is a teacher in the school, « My classes » offers your GO4SCHOOL courses. A class you ran alone links to its course through a proposal: a preview shows what will be carried (students found by registration number, scheme of work, lessons ticked, class log), then the direction accepts all of it, a part, or refuses and says why — nothing changes at the school before its decision. You follow your proposals in « My schools » and can withdraw one that waits; if it is refused, your version stays with you. Once accepted, the school's version is the reference. Afterwards there is a single source: what you enter in GO4TEACH shows in your GO4SCHOOL space, and the other way round. The log of a school session follows GO4SCHOOL's rules: it is written once the session has started, never in a class taking attendance by the day (primary, nursery), and only its author changes it. The link breaks by itself if you no longer teach that course: you keep your documents, and the class goes back to its own student list.
In GO4TEACH, how often can I use the AI for free?
Every teacher has 3 free AI actions a day. Everything the AI does counts as one action: a question to Juju in « Ask a question », a regenerated answer, a sheet, a test or a scheme of work generated, a section regenerated, a sheet transformed, a document read at import. What you write yourself, export and sharing are free. There is neither a subscription nor a time-limited trial. The counter at the top of every page shows what is left, and « My AI history » lists every action and what paid for it; it goes back to 3 every day at midnight. An action the AI failed is given back. Beyond, the AI goes on with your AI tokens: top them up in « AI credits »: three top-ups at 1,000, 2,500 and 5,000 FCFA incl. tax, to take once or several times (also shown on the site's « Prices » page; payment by MTN Mobile Money or Orange Money, the operator's fees show before you pay). Once GO4TEACH has validated the payment, the tokens are credited and the invoice is available.
In GO4TEACH, do my documents belong to me?
Yes. What you write and what you import stays yours: your personal preparations follow you if you change schools or if a direction ends your attachment. An imported document must be yours, an official text or an authorised extract. What you duplicate from a colleague, your school or the GO4TEACH library keeps its original author, its date and its rights: a copy of a content reserved to the school or shared by a colleague is not passed on. The AI's texts are proposals: each section stays « to review » until you have reviewed it, and you remain responsible for what you teach. The terms of use and of sale are on the GO4TEACH website.
In GO4TEACH, how do I generate a lesson plan?
Open « Generate » (or the « Generate » button of a lesson of your scheme of work, of the daily sheet, or the « Generate a sheet » card of the app). Choose what you want: lesson plan, exercises, test with answers and marking scheme, revision or remediation sheet, end-of-sequence test, scheme of work, board-and-chalk games (row relays, team quiz, stand-up/sit-down true or false) or a mock exam in the exam's own format. The planned lesson is offered by default; set the duration, your classroom conditions (no connection, no printer, class of 80…) and the language (French, English or bilingual, translated instructions, simplified language). A generation counts as one AI action, given back if it fails or you cancel it. The sheet arrives in under a minute, section by section: each stays « To review » until you mark it reviewed. A sheet already generated is found on its lesson (« See the sheet ») and on the home page. In « Settings », your school, experience, real class size and classroom conditions make the sheets closer to your class.
In GO4TEACH, how do I edit a generated sheet and declare it ready?
A generated sheet opens in the editor. Each section has its tools: « Edit » (correcting by hand costs nothing, and the section becomes « Written by you »), « Regenerate » (the AI rewrites this section only, for one AI action), « Compare » (the AI's version and yours). « Transform » works on the whole sheet, for one AI action: adapt it to a lower level, cut it down to 30 minutes, add five exercises, turn it into homework, use Cameroonian examples. The cost shows before you confirm; if the AI fails, the action is given back. What the AI wrote stays violet « To review »: while a section is not reviewed, the sheet cannot be marked « Ready to use », and putting a section back « To review » brings it back to « Being edited ». Each change makes a new version (« History »). « Export » gives the sheet as a print-ready PDF, an editable Word file, or prints it directly.
In GO4TEACH, how do I add an answer of the assistant to my sheet?
From a sheet, « A question about this class » opens the assistant on that sheet: it reads it, with your class and your scheme of work, and the screen says « Opened from » the sheet. Under each answer, « Add to my sheet » puts it into the sheet's preparation notes, with its source; « Generate from this » opens the generation with your question as the brief, which you can remove. A question counts as one AI action; adding an answer to the sheet is free. Removing a note makes it addable again.
In GO4TEACH, where do I find my sheets and my tests?
In « My preparations » (lesson plans, exercises, revision and remediation sheets, schemes of work) and « My tests » (tests with answers, end-of-sequence tests), in the menu or the Workshop tab of the app. By default the list shows ALL your documents, from all your classes and all years, most recent first; « Current assignment » narrows it to the class in progress. Nine filters add up (year, class, series, subject, chapter, type, language, status, origin) and the search covers the title and the chapter. At the top: the sheets ready for the week and the AI sections still to review. A document can be archived (it stays readable in « Archives » and can be restored at any time) or deleted after confirmation. The list exports as CSV or PDF, whole or for a selection.
In GO4TEACH, how do I create an end-of-sequence test?
In « My tests », tap « Create a test ». Choose the type (end of sequence or monthly), then the chapters covered: only the chapters already studied according to your scheme of work can be ticked, the others are locked. « Lift the lock » lets you include one anyway — an entry test for a sequence, for instance — and its questions are shown to the students as anticipation. Then set the marking scheme exercise by exercise: the total must make 20 points to generate. You can start from a former test, used as a model of form and level without being copied. The generation counts as one AI action and produces the statement, the detailed answers and the marking scheme; the test is filed in « My tests ». Entering the students' marks is not available yet.
In GO4TEACH, how do I import a former lesson plan, a test or the photo of a plan?
Open « My imported resources » (menu on the web, button in the Workshop on the app), then « Import a document ». On the phone, photograph the page straight away (a handwritten plan, a textbook page, a former test) or choose a PDF or Word file; on the web, drop a PDF, a Word file or a photo (20 MB at most). First tick « I may use this document »: it is yours, it is an official text, or an authorised extract — a whole textbook is not an extract. The reading counts as one AI action, given back if it fails. The AI then proposes the document's type and its chapters; you validate, correct or set aside each chapter, one card at a time — nothing counts without your gesture, and a student's name read on the document is never kept. A chapter set aside never makes it into your sheets; a document whose chapters you all set aside no longer serves as a source. The matching shows what matches your scheme of work, what is missing and what is extra; it does not change your scheme of work. The document (20 pages at most) then becomes the source of your sheets: « Generate a lesson from this document », or « Create a test based solely on this document ». In « Generate a sheet », the « Your documents » card lets you tick up to three; if your course has no published programme yet, a ticked document stands in for it.
In GO4TEACH, how do I link my account to my school?
If your school uses GO4SCHOOL and assigned you your courses, it shows by itself in « My schools » as « Verified ». While no school is linked, « My schools » offers « Find my schools »; you also see the GO4SCHOOL schools of the cities you teach in there, each with « It is my school ». While you have linked or declared no school, « Find your school » is offered at each sign-in, on the web and in the app (« Later » to go on). A school group gathering several schools (nursery, primary, secondary…) shows as one school, under its name: tick the school(s) where you teach, a request goes to the direction of each. « Add a school » first asks whether it uses GO4SCHOOL: yes, you search for it by name and ask for the attachment; no, you declare it by its name and city, a plain label that gives access to nothing and tells no one. A request goes to the school's direction, which decides; you can withdraw it while it has not answered. The attachment gives the school's teaching plan, sending your preparations to the head of studies, sending them back into GO4SCHOOL and, if the school decides so, paying your AI actions from its GO4SIA balance within a monthly quota; it never gives pupils' grades or files, nor the other teachers' workshop: only what the school shares in its library. If you leave the school, or the direction revokes the attachment, your personal documents stay yours.
What is « Find my schools » in GO4TEACH?
A five-step path, opened right after the sign-up, then at the first opening of each new school year, and at any time from « My schools ». 1. Your schools: where you teach or taught, several possible; a GO4SCHOOL school whose active teacher record carries your account is found by itself; search for the others and ask for the attachment. 2. What we found: for each school, year by year, your classes and courses (substitutions included), the cutting of the year into terms and sequences, and each course's scheme of work or the monthly plan in primary, with the lessons done; you tick what you take. 3. A past year (2025-2026 for instance) is kept as it was, and a copy makes the base of the current year: the same classes and subjects, your own copy of each scheme of work, every lesson to do again. 4. If you had already typed data, each difference is shown (cutting of the year, class, scheme of work): what comes from the school prevails by default, « Keep mine » keeps your version, and the school is never changed by this choice. 5. The summary, then « Start the takeover »; for the year open at the school, « Synchronise live » links your classes to the school (off, you get a copy of your own). Every step can be skipped. If the school has assigned you no course yet, « Tell the school » warns the direction (once a day at most); if the school closed GO4TEACH, you go on alone. Your grades and the school's report cards never come into GO4TEACH.
Why does GO4TEACH ask for the cities I teach in?
To tell you when a school of one of your cities joins GO4SCHOOL: the bell, an e-mail and a notification ask « Is it your school? », and « Yes, it is my school » asks its direction for your attachment. You may teach in several cities: the first is asked at the sign-up (or once on the home; « Later » never asks again), the others are added in « Settings › Cities you teach in », on the web and in the app, with OpenStreetMap suggestions that fill the country too; 10 cities at most, each removed in one tap. « My schools » shows the GO4SCHOOL schools of all your cities. Your address (where you live: district, landmark, PO box…) stays apart in « Settings › Address »; it is not used for the announcements. You can switch these announcements off in your notification preferences.
Can I use GO4TEACH in English?
Yes. On the web, the language menu of the top bar (the flag, then FR or EN) switches the whole interface to French or English, on the same page; the GO4TEACH site has the same menu. In the app, open your avatar's menu, then « Language ». The language of a document is another choice: it follows the class (English for an anglophone class) and is changed at generation: French, English or bilingual.
In GO4TEACH, what are the « Settings » for?
« Settings » (the « My account » group of the menu) describes your teaching context; no answer is required and each one makes the sheets closer to your class: your school (declaring it opens no access to its data; a school that recognises you is shown above), your experience, the class size and your classroom conditions (no printer or photocopier, no connection in the classroom, teaching in the other official language too), then « Save ». Further down, « Cities you teach in » (10 at most) is used to tell you about the schools of those cities that join GO4SCHOOL, and « Address » keeps where you live (only the city and the country are required). Everything can be changed at any time.
I run a school on GO4SCHOOL: how do I manage the teachers who use GO4TEACH?
In the school space, open the GO4TEACH module: it is included in your subscription, at no extra cost. It sits in the institution's menu, or in the « Modules » group of the complex space when your complex has several institutions. « Teachers » lists all your teacher records with their state: linked, no course this year, not signed up, request pending or removed. Accepting a request ties the teacher's account to their record (create it first in the staff if it does not exist): their classes open with the courses you assign them; a refusal must give a reason; you can revoke then restore an attachment. « Submitted preparations » lets you validate a sheet or reject it with a comment. « Synchronisations to validate », « Tokens » and « Settings » complete the module. These screens follow the rights of the GO4TEACH module (Settings › Roles).
What does GO4TEACH receive from my school, and how do I close it?
The « Dashboard » of the GO4TEACH module says it, teacher by teacher and for the chosen school year: their classes and courses (as teacher or substitute), the sessions of their timetable, the progress of the pedagogical project, the class log, and the list of the pupils of their classes with their registration number. Never: marks, report cards, absences, finances, pupils' files. GO4TEACH is open to your teachers by default. A switch closes it: your institution is no longer offered to teachers, an attachment request is refused, the classes already linked are frozen (read, never changed from GO4TEACH again) and the school's credits stop. The teachers' documents stay theirs. In « Settings » you also open or close the institution's library and the staff room's stories for your pupils.
How do I validate what a teacher proposes, and give them AI tokens?
A teacher who ran a class alone in GO4TEACH can propose to write it into the school's records. « Synchronisations to validate » shows what will change on your side, part by part: the class tied to its course, the pupils recognised by their registration number, the scheme of work, the lessons already taught, the class log. You accept everything, only the ticked parts, or refuse with a reason; nothing changes before you agree, and once accepted the school's version is the reference. The teacher gets the answer in GO4TEACH. In « Tokens », the school buys AI tokens with the same packs as GO4SIA, on the same balance, and distributes them as AI actions a month: the same quota for everyone, a quota per department or per teacher, with a daily ceiling if you wish. An alert threshold warns once when the balance falls below it. A teacher linked to the school, even without a course this year, may use these credits, after their 3 free actions of the day. Payment by the school is off by default.
GO4LEARN: how do I choose the notifications I receive?
Open « Notifications » from your account menu (on the web) or from « Settings » (in the app), in the learner space as in the parent space. The page shows only your spaces' notifications, grouped by space: learner, parent, studio, referrals. You turn off a whole channel (push notification, e-mail) or each notification one by one; a padlock marks a mandatory notification, such as a confirmed payment. Every change is saved at once. The parent's weekly report also keeps its own setting in « Settings ».
I run a school on GO4SCHOOL: what is the GO4LEARN module?
It is GO4LEARN, your pupils' revision app, seen from your institution. It is included in your subscription at no extra cost; it sits in the institution's menu, or in the « Modules » group of the complex space if your complex has several institutions (the former name « GO4SLEARN » is the same module). Its « Dashboard » gathers the linked pupils and the requests to decide, the activity you may see and your subscriptions ordered and paid, each figure according to your role's rights; it also shows the agreement « GO4LEARN is open to your pupils », open by default, and what GO4LEARN receives about your pupils for the year chosen: only their class (class, series, language). Never: grades, report cards, absences, finances, pupil files, and GO4LEARN sends no grade back to you. Closed, your institution is no longer offered in GO4LEARN, a new link is refused and the pupils already linked are frozen; they keep their account. « Settings » also opens or closes the institution library (resources, quizzes, the pupils' and parents' revision). These screens follow the rights of the GO4LEARN module (Settings › Roles).
How does a pupil link GO4LEARN to their school, and what does the school see of them?
In GO4LEARN, the pupil (or their parent) picks the institution among those that opened GO4LEARN, then proves who they are: their registration number and birth date, or the validation by a parent GO4SCHOOL already knows. Their profile is then linked to their record, and their class comes from the school. After three tries that do not match, or if the record is already linked to another profile, the request reaches « Pupils »: you choose the right record or refuse with a reason; the pupil and the parent who asked are told your answer in GO4LEARN. You may also undo a link; the pupil keeps their account. A pupil's GO4LEARN activity (chapters worked, last activity, subscription) only shows if they are an adult or their parent agreed; their grades, never.
Can my school give GO4LEARN to whole classes?
Yes. In the GO4LEARN module, open « Subscriptions », tick the classes and work out the amount: it is GO4LEARN's current price for your country, times the number of pupils enrolled this year in those classes. Send the order; the GO4LEARN team gets back to you for the payment, then the subscriptions open. Nothing is charged from this page, and you may cancel an order while it is sent.
In GO4TEACH, what do the three libraries hold, and what does a copy keep?
The « Libraries » group of the menu opens three libraries, which are also the page's three tabs. « Personal library »: your sheets, your tests, your archives, your imported documents and your favourite models. « School library »: what the school that recognises you opened — the preparations its pedagogical manager validated, the department's exercise bank, the documents your colleagues share with the school or with you; it only shows in the menu once a school recognises you, and the direction can close it. « GO4TEACH library »: the contents published after moderation. On a GO4TEACH library content, « Keep as favourite » files it in « My favourite models » (the « My contents » group of the menu), « Remove from favourites » takes it out. « Duplicate » files a copy in your personal library, yours to change; it always keeps the original author, its date, its number of versions and its reuse rights, written on the document — and a copy of a copy keeps the first author. A copy of a school content, or of a document a colleague shared with you, keeps reserved rights: it cannot be published in the community. On a sheet, « Share and comment » shares it with a colleague recognised in the same school, read only, comment or co-editing (they rewrite sections by hand, under their name; the AI gestures stay yours); a set of exercises can be added to the department bank. On the phone, you read the comments and answer: co-editing is done on a computer.
In GO4TEACH, how do I publish a sheet in the community?
Publishing is not a button: it is a request to the GO4 moderation team. On a ready sheet, tap « Publish in the community ». The screen first says what the moderation checks: no section left « to review », the programme aimed at given (country, class, subject), the reuse rights chosen (« Reusable with credit » or « Free to reuse »); a person then reads the sources and checks that no student name, mark or personal data appears, and that copyright is respected. The document is copied as it stands when you ask; the answer comes within 48 working hours. Published, it joins the GO4TEACH library under your name, and every copy keeps your authorship. Refused, you get the reason; your document stays intact in your library. You can withdraw the request until it is answered. Your requests and their answers are in « My shared contents ».
In GO4TEACH, what are the mini-trainings?
Six short modules, 10 to 18 minutes, to make the most of the workshop: building a learning objective, setting a marking scheme, differentiating an activity, creating a good test, using AI responsibly, checking generated content. They open after your first sheet — the « Mini-trainings » entry then appears in the « My account » group of the menu, and the app offers them in the Account tab. Each module is read step by step, then gives what to remember, a practice to do in GO4TEACH and three questions to check yourself, with no mark: each answer is explained. Your progress is kept; a finished module stays in the list, to read again whenever you like. Reading them is free; only a practice that transforms a sheet uses an AI action, as everywhere.
GO4TEACH on a phone: dictate a lesson, read in class, work offline?
In the GO4SCHOOL app (GO4TEACH's Account tab). « Dictate a lesson »: say when, what, which class and how long; you read the text again, the app shows what it understood (class, lesson of your scheme of work, duration) and names what is doubtful — then choose the duration. Nothing is counted before sending; the sheet costs one AI action. « Read in class » opens a fully reviewed lesson sheet: one phase per screen, its timer against the planned minutes, the screen kept on, larger text if needed. « On this phone »: the year's lesson sheets stay readable offline; a dictation or a generation asked offline waits in the queue and leaves when the network is back, the AI action taken then, not before.
GO4TEACH: where are my notifications, and what happens if my session expires?
The bell, at the top left of your account (and at the top of the app's screen), gathers what GO4TEACH told you: a sheet generated to review, your free AI actions of the day used, a document shared or commented, a submission reviewed by your school, the answer to an attachment request, a school of your city joining GO4SCHOOL (« Is it your school? »), the mini-trainings open. The number says how many are unread; « Mark all as read » clears them, « See all » opens the whole list. You stay signed in until you sign out yourself, even after closing the browser. If your sign-in ends anyway (signed out elsewhere in GO4SCHOOL, password changed), GO4TEACH says so without losing anything: what you were writing (a section being edited, a lesson log, a dictation) is kept in this browser or on this phone, your address is shown, and « Sign in again » brings you back to the page you were on.
GO4TEACH: how do I choose the notifications I receive?
In « My account », open « Notifications » (in the app: your avatar's menu, or « My profile » then « Notifications »). There you turn off a whole channel, push notification or e-mail, or each notification one by one: sheet generated, the day's AI actions used, document shared or commented, your school's answer, mini-trainings open, programme behind… A padlock marks a mandatory notification. Every change is saved at once. These settings are GO4TEACH's only: they change nothing in your GO4SCHOOL preferences, and the other way round.
GO4TEACH: what is « The staff room », and who sees it?
At the top of GO4TEACH's home, « The staff room » shows for 24 hours the highlights of the other GO4TEACH teachers — those who teach your subject or level first. You write nothing: at a strong moment (a sheet fully reviewed, a mini-training finished, a sheet reused by at least 3 colleagues, 5 days of work in a row), GO4TEACH offers you a card, and you choose « In the staff room » (3 a day at most), « Elsewhere » (a vertical image to post on WhatsApp, Instagram or Facebook) or « Download the image ». Your colleagues react with 👏, 💡 or 🙏 — no message — and see « See the sheet » only if it is published in the GO4TEACH library. You see how many saw it and can withdraw it at any time. Pupils do not see it.
GO4TEACH: what does a card of « The staff room » never show?
Never a pupil's name, a mark, a pupil's copy or a school's name: GO4TEACH makes the card from your work (the sheet's title, the class and subject, your first name and the initial of your last name), and a title that would name one of your pupils or schools is left out. A moment that seems out of place can be reported (« Report »): the GO4TEACH team reviews it and may hide it. To send a whole sheet on WhatsApp, use « Export » → « WhatsApp »: the sheet goes as plain text, in several messages if it is long, with no AI action.
In GO4TEACH, how do I mark an MCQ from photos?
Open a ready evaluation, then « Mark ». Check the MCQ answer key: GO4TEACH takes it from the evaluation's key when it writes it as « 1-B, 2-D », you adjust the number of questions, of boxes per question (A to E) and of registration-number digits, then « Save the key ». Print the answer sheet (one page per pupil): the pupil fills in the digits of their registration number and one box per question. Without a printer, copy the suggested text on the board: pupils answer on half a sheet and you type their answers in the app. The sheets are photographed in the GO4SCHOOL app (camera or gallery), even offline: it reads the boxes, flags a doubtful box for you to decide, flags a sheet printed for another version of the key, then shows each sheet's score, a table by registration number and the success rate per question, to export as a PDF. Reading the photos costs no AI action.
GO4TEACH: where do the scores read on the answer sheets go?
Nowhere but to you. The pupil is identified by the digits of their registration number (8 by default: the year and the order of the GO4SCHOOL registration number), never by name. A registration number unknown to the class is flagged as soon as the photo is read, without blocking anything: you can correct it by hand. The photos are read on the phone, with no AI and no server; you may then send the results to your evaluation to find them on the web, but nothing goes to GO4SCHOOL: no mark, no report card.
In GO4TEACH, what are correction codes?
A list of 6 to 8 frequent mistakes, each with a code (C1 to C8), a comment and a tip: on the pupil's copy you only write « C3 ». Type it yourself (free), or type the mistakes you see and tap « Propose with the AI »: the AI starts from the subject, its key and your mistakes, and it counts as one AI action per list (given back if the AI fails). A list written by the AI stays « To review » until you save it; only then can it be printed, sent on WhatsApp or shown on the board.
In GO4TEACH, how do I prepare a remediation after a test?
Open a ready test, then « See what they missed » (also under the results of « Mark »). The rates come from the sheets read by the app; without a sheet read, tick yourself, question by question, the share of the class who missed it (a quarter, half…). Each question is tied to a chapter of the programme — first spread over the test's chapters, yours to adjust — and you can name the notion tested. GO4TEACH then shows « N notions missed by more than 40 % »; « Prepare the remediation » turns them into a targeted remediation sheet, to review: one AI action, given back if the AI fails. These are shares of the class, never of a pupil: nothing goes to GO4SCHOOL.
GO4TEACH: will I finish my programme before the exam?
« Programme coverage » (Plan menu, and under the progress on your home) computes it without AI: what is done and what remains, from your scheme of work and your lesson log, and the school weeks left, holidays taken out, before the class's exam — the date comes from the exams referential (BEPC, CEP, Probatoire, Baccalauréat, GCE…); with no exam for the class or no date published, it counts up to the end of the year and says so. Example: « You have 4 chapters and 7 weeks left before the BEPC ». If it is tight, « Propose a catch-up plan » writes a week-by-week plan (one AI action) that you edit and save. The « programme behind » alert is visible to you only (home and bell, once when the course crosses): your school never sees it.
In GO4TEACH, how do I prepare a mock exam in the exam's format?
« Mock exam » (Generate menu, or « My exam papers »): choose the exam (CEP, BEPC, Probatoire, Baccalauréat, GCE O/A Level), the series and the paper. GO4TEACH shows the paper's structure — parts, marks, duration, instructions — and applies it to the paper, on the chapters already studied per your scheme of work only (the others are locked). You get the paper, the detailed marking scheme and the answer key, each section to review, to print or send like your other sheets: one AI action, given back if the AI fails. These structures were drafted by GO4TEACH from past papers and await the team's validation: they show « Structure to validate ».
GO4TEACH: what can I do with my past exam papers?
In « My exam papers », take a photo of or import a past paper (one AI action per paper, like an import). GO4TEACH splits it into exercises and proposes a chapter of your programme for each, « To review » until you confirm it. Then search by chapter (« all my exercises on Thales ») and insert an exercise into an evaluation or a sheet, for free. You can share a paper with the colleagues of a school that recognises you in GO4SCHOOL by ticking « I have the right to share this paper »: they read it and can copy it, without changing it. There is no public sharing.
GO4TEACH: how do I make level groups in a large class?
« Level groups » (Prepare menu) follows the « teaching at the right level » method (TaRL). 1. Generate a 5-minute placement test, oral or on paper, on a notion (one AI action). 2. Record each pupil's level by seat number, on 3 or 4 levels: pick a level, tap the seats — never a name, and it is not a mark (nothing goes to GO4SCHOOL). 3. GO4TEACH forms the groups at once, without AI: by level, bench neighbours together, 15 pupils at most, with a pupil-monitor per group (an advanced pupil is lent to the weakest groups; you can change them). The groups are kept for the class until the next test. « Prepare the three-level sheet » gives a common core, three levels of exercises and the monitors' instructions (one AI action). 4. Test again a few weeks later: the groups change and the progression shows.
GO4TEACH: how do I ask questions without always calling the same pupils?
« Run the class » (Prepare menu, and in the app) draws a seat number at random without drawing the same pupil twice until the whole class has had a turn, then « Start again ». The timer is next to it (1 to 15 minutes). No AI, free, and in the app even offline. To run the class without material, the « Board-and-chalk games » sheet type (Generate menu) prepares a row relay, a team quiz and a stand-up/sit-down true or false on the lesson: one AI action.
In GO4TEACH, what does Juju know about my course?
Open « Ask a question » from the daily sheet or your scheme of work (the « A question about this class » card): the assistant answers about the course chosen at the top of the page — your scheme of work and where you are, the next lesson, today's term and period, your class's head count, your latest class logs and today's sessions. She sees neither your students' names nor their marks. Switch course in the selector at the top for her to answer about another.
How do I access the GO4SCHOOL platform?
On the web, sign in at app.go4school.net (or through “Login” on go4school.net) with your email, phone number or registration number, and your password. The school usually opens your account and gives you your credentials; a parent or a teacher can also create their own account. The mobile app (App Store and Google Play) uses the same credentials. It covers parents, students, teachers, pedagogical animators, cashiers, transport, catering, the infirmary, sector supervisors and steering; school administration works on the web.
Can I have several roles on the same account?
Yes. A single account can hold several roles (for example parent and teacher, or teacher in two different schools). At login, a role selector lets you choose your space, and you can switch roles at any time without logging out, both on the web and on mobile.
Do I have to click "Filter" to search a list?
No. In the lists of the web application (students, enrolments, staff, payroll, expenses, stock, catering, transport, health…), search is instant: the list updates a moment after you stop typing (from 2 characters), and as soon as you pick a value in a filter, a date or a checkbox. On most lists only the list reloads, so you keep typing without losing what you entered; on a few pages the whole page reloads, then your field, cursor and scroll position are put back. The page address keeps your filters, so you can go back or share the link. The "Filter" button is still there, and "Reset" clears every filter at once. A few screens that are heavy to compute (payroll declarations, accounting statements, reports) stay manual: set your filters, then click "Filter".
How do I find a student or a person with the search?
Just type pieces of their name, in any order: “ngono ulrich”, “Ulrich Ngono”, “ngo ulr” or “Ngonó” all find “NGONO MENGUE Ulrich Vincent”. Every word typed must appear in their names or numbers, even partly, ignoring capitals and accents; the more words you type, the narrower the list. A registration number typed in full gives exactly that person. The same rule applies to every person search: students, parents, staff, accounts, absences, health, catering, fees, the cashier's counter, the global search (⌘K / Ctrl+K), the Juju assistant and the mobile app, and to the lists filtered directly on screen.
Why are names shown as “LAST NAME First names”?
It is GO4SCHOOL's rule for every person (student, parent, staff, account): the last name entirely in capitals, then the first names, each with a capital letter, for example “NGONO MENGUE Ulrich Vincent”. The name is saved this way however it is typed (“ngono mengue” and “ulrich VINCENT” give this result; a compound first name keeps its capital after a hyphen or an apostrophe, such as “Gad-Arthur” or “D'Arc”), and it shows the same way on lists, report cards, cards, receipts and documents. Lists of people are sorted by last name.
Are GO4SIA, GO4SMS and GO4SINSIGHTS paid?
These three modules are not subscribed like the others. GO4SIA and GO4SMS are added to the subscription by GO4SCHOOL at no charge: you only pay for the assistant tokens and SMS credits you buy, by Mobile Money. GO4SINSIGHTS is included and switched on for every school group and standalone school: it reads the data of the modules already active.
How do I create a new student in the system?
In GO4SBOOK, open the student management menu and click “New student”. A single page saves the student, their parents and, if you wish, their enrolment at once. Search the school first: a former student who comes back is not created again, “Enrol them this year” opens their enrolment directly. While you type, a student probably already there (same names, same birth date or place, a parent with the same phone) is flagged with their registration number and last class. Then fill in the identity and the address, and one parent at least: type a part of their name, phone, e-mail or registration number: the results appear while you type, and “Link this parent” ties them without a duplicate, or type them in; the “Lives with the student” box gives them the student's address. Finally the enrolment (ticked by default, optional) places the student in a class of the current year and generates their fees. If left empty, the registration number is generated automatically. The end page gives the new parents' login details and an “Add a brother or sister” button.
What is a student's priority parent, and how do I change it?
The priority parent is the one the school calls first; the receipts of the student's fees are in their name (“Received from …”) and their SMS goes to their phone: no payer is typed at the cash desk any more. A student has only one, marked by the “Priority” chip wherever their parents are listed. The first parent linked to a student becomes it by default. To choose another one: on the “New student” page, the “Priority parent” button of the chosen block; on the student's record (GO4SBOOK), “Make priority” on the parent's row, or the “Priority parent” box when adding a parent; when linking children from a parent's record, the “Make them the priority parent of these children” box; at the cash desk, “View profile”, “Parents” tab (the box when adding) or “Edit” (the “Priority parent” choice), also in the mobile app. The new priority parent replaces the former one. Removing the priority parent hands the role to the parent linked earliest. The Excel import of students or parents has no column for this choice: a student's first imported parent becomes their priority parent.
How do I manage student enrollments?
In GO4SBOOK, open the enrolments menu. “New enrolment” places one student in a class for the current year (a new student can also be enrolled as soon as they are saved, on the “New student” page), and bulk enrolment imports a class from Excel. At the start of the year, bulk re-enrolment carries over the students of a previous year: the application suggests the next class, you untick students who are not coming back and fix repeaters before confirming. Each enrolment keeps its history; you also record the end-of-year decision there and, for a student who already has data in the year, transfer them to another class.
How do I configure school fees?
In GO4SFEES, “Fees settings” menu, a 5-step wizard creates each fee: its type, its classes, then its installments (tuition, registration, exam), its plans (transport, catering, boarding, daycare), its unit prices or its activities, its discounts and its reminders. A fee bills no one until it is locked: locking creates each student's amounts due. Families pay online by mobile money (Orange Money, MTN Mobile Money, Express Union Mobile Money), by a payment proof (Orange, MTN, Wave or bank transfer) validated by the bursar's office — depending on the treasury accounts ticked for it (“Receives online payments”, “Offered to parents (manual payment)”) —, or at a school cash desk, where the cashier hands over a receipt. Discounts are granted student by student in the “Discounts” menu.
How do I generate report cards?
In GO4SDOC, open the report cards menu; “New Generation” produces the report cards of a whole class for a term or an evaluation period, from the grades entered, and the wizard flags errors and warnings before the preview. A critical error stops the generation at once (red bar, “Failed” in the history, “View the errors” to read them); a subject with no assessment at all in the period does not block: it is not counted and its report card line shows dashes. Calculation and layout are set in the report card model, signatures in “Signatures & Stamps”. The same generation can produce the class council minutes and the honour roll, which are also listed under “Council minutes” and “Honor rolls”; the minutes download as a PDF or an Excel file, in the language chosen for them. Families only see report cards once they are published from the generation's page, and every report card carries a QR code to check its authenticity. After a correction of marks, “Regenerate” redoes the same generation with today's marks, without deleting anything.
How do I create timetables?
In GO4SBOOK, open “Timetables”. First set the periods of each cycle and the rooms, then click “Build the timetable”. The page recalls what to set up before you start and offers five methods: from the teachers' wishes, automatic placement, Excel import, table entry and adding a slot. The methods that compute make a proposal for you to approve. A class, teacher or room conflict is refused on save; the checks tab flags what deserves a second look against the school's rules. The year's sessions follow from the time slots, and the daily follow-up tab is then used to handle teachers' requests, replace them and make up lost hours.
Can I add several time slots of one course at once?
Yes. In GO4SBOOK, « Timetable » menu, « Build the timetable » button, « Add a slot » method: choose the class and the course, then fill the « Time slots » card, one line per slot with its day, times and room (Monday 8:00 in room A, Thursday 10:00 in the lab…). « Add a time slot » adds a line. « Save the time slots » saves them all or none: a class, teacher or room conflict, on a line or between two lines, shows under that line and nothing is saved.
Which method should I choose to build the timetable?
In GO4SBOOK, “Timetables”, the “Build the timetable” button presents five methods, which combine. “From the teachers' wishes” builds the start of the year in secondary school with the days, moments and course sessions each teacher gives. “Automatic placement” places the hours due of several classes from the hour volumes. “Excel import” takes over an existing timetable, one sheet per class. “Table entry” quickly fills a class from a paper. “Add a slot” completes or corrects a course, and it is the only method that handles groups, A / B weeks and dates. Before the placement or the generation, set the periods, the teachers of the courses and the hour volumes.
How do I collect the teachers' timetable wishes?
In GO4SBOOK, “Timetables”, “Build the timetable”, “Teachers' wishes” button. Choose a due date and click “Open the collection”: secondary teachers are informed, then reminded 3 days before and on the day. Each one gives their days, the moment of each day (morning, afternoon, whole day or chosen periods), how their courses are cut into sessions and the room they want; the volume stays the school's. The table shows the sheets sent, in draft or not filled. For a sheet given on paper, “Enter the wishes of…” then “Fill in”. Then “Generate from the wishes” builds the secondary timetable, respecting the wishes or preferably; you review the report per teacher before creating the slots. In nursery and primary school, the timetable stays entered by the administration.
Does a slot added during the year create sessions since the start of the year?
No. Without a start date, a slot laid during the year gives its sessions from the day it is created: it leaves no “Not started” sessions since the start of the year, which would count as hours not taught. To enter a timetable afterwards, give a “Valid from” date, even a past one: the sessions start on that date. A slot laid before the start of the year covers the whole year.
A teacher changes day after the timetable was applied: what should I do?
Nothing moves on its own: the wishes are only read when a computation runs. Correct their wishes sheet and, if the former day is impossible for good, add a blocking unavailability on that day. Then, in GO4SBOOK, “Timetable”, click their slot then “Edit”: change the day and keep the “From” date (today by default). The former slot ends the day before, a new one starts that day. The sessions before the date do not move, even never opened; the sessions already held are always kept; the sessions to come are removed then created again on the new day. For all their courses at once, use “Place their courses again” from their sheet. Before the start of the year, no session is held: the slot is simply changed.
How do I swap two courses in the timetable?
In GO4SBOOK, “Timetable”, typical week of the class, click one of the two slots then “Swap with…”. Choose the other slot in the list and the “From” date, then “Swap”. Both courses trade their day and times; each keeps its room, group and week A / B. Teacher, room and unavailability clashes are checked on the result: if one of them fails, neither moves. It needs the update permission on the timetable.
How do I place again the courses of one teacher without rebuilding the whole timetable?
Open their sheet in “Teachers' wishes” (or choose them in “Teachers' unavailabilities”), card “Place their courses again”: choose the “From” date and click “Place their courses again”. GO4SCHOOL computes a proposal where only their courses are placed again, in the periods left free, following their sheet and unavailabilities; the rest of the timetable does not move. Review then “Create N time slots”. What finds no room is listed: “Rebuild their classes” then proposes a computation where the other courses may move. Nothing is applied without your confirmation, and their sessions already held are kept.
Can I undo a timetable generation already applied?
Yes, for a generation from the wishes, an automatic placement or an Excel import. The simplest way: Timetable page, ⋮ menu › “Undo the last application”. A window lists the consequences before you confirm: the slots created and their sessions not started yet are removed; sessions already held stay, with their roll calls and textbooks; in “Rebuild the timetable” mode, the slots it had replaced come back; slots set another way do not move. You can also undo from the proposal (“Recent generations” or “Recent proposals” › “Open” › “Undo this application”) or from the import (“Recent imports” › the import › “Undo this import”). The undo runs in the background: the page shows “Undo under way”, reload it in a few moments. Slots entered by hand or in the grid are not undone this way: change or delete them slot by slot. An import applied before 27/10/2026 cannot be undone. “Discard” only removes the proposal, not the slots. A rebuild applied before 22/10/2026 cannot be undone: rebuild from a date instead.
Why are there no more sessions after the third term?
Sessions are only created within the terms of the school year, outside holidays: nothing after the end of the last term, nothing in a break between two terms. A year without terms keeps its sessions all year. If you change the dates of a term, the sessions to come of the days that leave it are removed and those of the days that enter it are created; the sessions already held do not move.
How do I manage the school's accounting?
The GO4SCOUNT module keeps OHADA-compliant accounts: chart of accounts, manual and automatic entries, journals, general ledger, trial balance, financial statements (income statement and balance sheet), DSF, budgets and fiscal years. Collections, cash desks, expenses and payroll write their own entries; each one starts “Pending” and only counts once validated in “Accounting Entries”. An entry that could not be posted (missing account or journal, no fiscal year) waits in “Entry catch-up” with its reason. A validated entry is never edited: it is reversed, and the Audit screen keeps a trace of every change. What each supplier, family or member of staff still owes or is owed is read in the “Third-party balance” and in the general ledger filtered on a third party. Once the previous fiscal year is closed, “Carry balances forward” (on the fiscal year's page) books the opening entry in the AN journal. The “Non-profit” group keeps the registers of a non-profit school, “Budgets” the budget by heading adopted by the board, and “Year-end closing” the end-of-year steps.
How do I import accounting entries from Excel?
In GO4SCOUNT, “Accounting Entries” → “Import entries”: follow the wizard (file, columns, options), and the review screen shows every entry before anything is saved. 8-digit accounts from other software (for example 40110000) are matched, journal codes such as “JACH” are matched with one of the school's journals and that choice is remembered for later imports, and an account missing from the chart can be created under its parent account if you ask for it. Nothing is saved before “Save the entries”, and it is all or nothing: one faulty entry and none is booked. A date written but unreadable (31/02 for instance) is refused, never taken from the line above; only an empty date cell takes the previous line's date. A line holding both a debit and a credit keeps their difference, and a line of zeros is ignored. If saving or validating is refused when you confirm, the review screen says why and nothing is booked. The entry number is always assigned automatically; your invoice or receipt reference goes in the “Voucher reference” field.
Can I change a validated entry or an entry of a closed fiscal year?
No. A validated entry is final: it cannot be edited, unvalidated or deleted; a mistake is corrected by a reversal, then a new entry. A validated automatic entry can also be reversed from GO4SCOUNT: after a warning, this cancels its source document in its module (a GO4SFEES payment, a GO4SXPENSE expense, a GO4STOCK invoice, a GO4SPAYROLL salary payment), if your rights in that module allow it. An entry's DSF, virtual or real only, is chosen at validation and can be changed later, the entry and all its reversals together. A receipt reversed from GO4SCOUNT is cancelled in full or not at all, payment by payment. A closed fiscal year, like a closed accounting period, locks its entries: no entry dated in it can be created, edited or validated any more. To correct a closed fiscal year, first reopen it from “Fiscal years”.
Can I change the accounts used by the automatic entries?
Yes. In GO4SCOUNT, “Settings” → “Accounts by type” tab, the “Accounts of the automatic entries” section lists the accounts GO4SCHOOL uses on its own (for example 57100 for cash, 58500 for funds in transit, 40110 for suppliers, 44500 for deductible VAT) and lets you replace them with your own accounts. New automatic entries then use your account; entries already booked do not change.
How do I book tuition when it falls due rather than when it is paid?
In GO4SCOUNT, “Settings” → “Fiscal Information” tab → “Edit” → “Tuition accounting” card, enter the date from which tuition is booked when due (the first day of a fiscal year). From then on, each due date creates a receivable on account 41200 for its gross amount, discounts and scholarships go to account 65100, and the family's payment clears 41200. The “Family receivables” menu then appears: it shows what each family owes by age (0–30, 31–90, 91–180, over 180 days) and lets you impair a receivable (65940 / 49100) or write it off (65110 / 41200); each decision creates a pending entry to validate. At the close, tuition booked ahead is carried to account 47700, then reversed on the first day of the next fiscal year. If you reject the deferral entry, booking it again also rejects its first-day reversal: revenue is never counted twice. Once dues have been booked, the date can no longer be changed or cleared: changing it would count the tuition twice or take the revenue back from dues already paid. Changing the families account later in “Accounts of the automatic entries” does not book again the dues already booked. Without a date, tuition stays booked when paid.
Which registers does GO4SCOUNT keep for a non-profit school?
The “Non-profit” menu group of GO4SCOUNT holds five. “Restricted funds”: each fund received for a set purpose has its own 165 sub-account, and a GO4SXPENSE expense tied to the fund (the expense's “Restricted fund” field) releases it on validation, up to what it holds. “Register of donors” (SYCEBNL art. 17): gifts are numbered without a gap, never edited (a cancelling line neutralises them) and export as a PDF; gifts already in the books with no register line are flagged. “Contributions in kind”: volunteering, lent premises and free services, valued in class 9, off the balance sheet, and shown in note 1 of the DSF. “Fixed assets”: straight-line depreciation by the day and the yearly entry in one click. “Projects and funders”: each project's uses and resources for the year, from the tied entries and expenses (the expense's “Project” field). Each list has its search bar and filters, and a row's actions are in its “⋮” menu. Cancelling an expense financed by a fund gives the fund back what it had released; a fund is never reallocated to itself. A register line is cancelled once only, and a cancelling line cannot be cancelled; the PDF export always prints the whole register, whatever the filters. A contribution in kind that the books refuse (class 9 accounts missing, for instance) is not saved: the form says why.
How does the board adopt and follow the school's budget?
In GO4SCOUNT, “Budgets” opens the “Budget by heading”: each heading groups accounts by their prefixes and gets its amount. The board adopts it with the date and reference of the minutes, which freezes it; a revision opens a new version. The execution table gives, for each heading, the budget, the payments, the unpaid commitments, the realised amount, the credit left and the rate; it feeds note 35 of the DSF, which holds 13 lines: beyond 13 headings, the last line adds up the others as “Other headings”, and the total stays complete. The former global budgets and budget lines remain reachable through the “Global budgets and budget lines” button.
How does the year-end closing work?
The “Year-end closing” menu of GO4SCOUNT follows the steps: year-end checks, approval of the accounts by the board, sending to the auditor (45 days before the general assembly), approval by the GA and declaration of compliance. The allocation of the result decided by the GA is booked in one click, on the GA date, in the next fiscal year: a surplus goes to the reserves and the surplus carried forward, a deficit is absorbed; the entry is created pending. If the GA's month is a closed accounting period, the allocation is refused: reopen the period or correct the GA date. The inventory book and the frame of the activity report download as PDFs. Do these steps before closing the fiscal year in “Fiscal years”: once the year is closed, the screen becomes read-only. The accounting dashboard also flags the legal obligations: a required auditor above the thresholds, the DSF due on 15 May, the accounts to send to the auditor.
Why do my financial statements show a warning banner?
The balance sheet, the income statement, their exports, the dashboard and the DSF read one single calculation, and the carry-forward entry is no longer counted twice. On “Financial statements”, a red banner flags a balance sheet that does not balance, and an orange banner names the accounts with movements that belong to no line: their amount is missing from the statements until the account is fixed. The cash flow statement and the notes are on screen in “Cash flows and notes”, beside the previous year. In a complex, the combined statements of all schools cancel what the schools owe each other. A journal prints as a PDF over a period from its page, with “Print the journal”.
How do I letter a third-party account and reconcile a bank statement?
In GO4SCOUNT, “Financial statements” group. “Lettering”: on a third-party account (classes 40 to 47), match the lines of one third party that settle each other, an invoice and its payment for example, by hand or automatically for equal amounts; a letter changes no balance. “Bank reconciliation”: pick a bank or cash account (52 to 55), enter the statement balance, then clear the movements by hand or by dropping the CSV statement into the import zone (same amount, within seven days; bank exports in Windows-1252 are read, an unreadable file is reported); the gap left is shown, in green when it is zero.
How do I bulk-import students or staff?
Students are imported from the enrolments menu → bulk enrolment, staff from GO4SRH → staff list → bulk registration. In both cases “New import” opens a four-step wizard (configuration, file, column mapping, confirmation): download the Excel template, fill it in, then match its columns to the fields. The student import enrols the students in the class you chose. Processing runs in the background and the import page follows its progress; if any row is in error, nothing is imported and the details list each faulty row with its reason.
How do I manage human resources and staff contracts?
The GO4SRH module lets you manage complete staff profiles, create and track employment contracts and their amendments, handle clock-in and attendance, process leave requests and their balances, and run performance appraisals with configurable grids. Each staff member has a centralized digital file.
How do I manage staff payroll?
The GO4SPAYROLL module runs payroll end to end: salary profiles, salary advances, adjustments (bonuses, hours, deductions), then the generation of a month's payslips, which you launch yourself. Payslips start as drafts; validating them locks them, creates the payment, posts the accounting entry and sends the payslip to the employee. Payments are settled with “Pay a batch”, from a school account or an expenses desk, and each one has its copy in GO4SXPENSE. Social charges follow the country's scale, and the “Payroll Summary” gives five PDF reports.
How do I fit the payslip calculation to my school?
In GO4SPAYROLL, the “Calculation rules” menu sets the payroll of the school chosen in the top bar. By default, the payroll applies the law; every rule on which practices differ is a setting. For each bonus, you give the share (0 to 100%) that counts in the contributory salary and in the taxable salary, and, for a benefit in kind (housing, phone, vehicle…), whether it counts for its real amount or on the tax scale, and what the CNPS counts of it; for each deduction or charge, its base (gross, base, contributory, taxable or net taxable salary), its rate, its ceiling, its floor and its rounding; then the formula of the net taxable salary, the base of the IRPP, with the ceiling of the professional expenses (400,000 CFA francs a month, CGI art. 34) and the base of the 62,000 CFA francs exemption threshold (the gross salary, by law); the threshold itself is changed in “Income-tax threshold (F CFA a month)”. The box “Apply the private-education exemption (employer's CFC and FNE)”, ticked by default (law 90/050), makes these two charges 0; untick it if the school declares them. The “Not applied” column makes a deduction or a charge 0 for every employee. The “Scales (IRPP, TDL, RAV)” card shows the scales of the law bracket by bracket (CGI art. 69 and C 86, ordinance 89/004): tick “Scale of the school” to type your own. An item valued on the tax scale has its “Rate of the scale (%)” (CGI art. 33-1). The “Bonuses and sums of the month” card sets the contributory and taxable share of the 13th month, a gratification, back pay, leave not taken… (100% by default, CGI art. 30 and 32). The “Seizable share” card shows the slices of decree n° 94/197/PM, which “Slices of the school” replace. “Month of a hire or a departure: days of the month” (30 by default) sets the pro rata of a month of hiring or departure. A field left empty follows the rule of the country, that is the law. In the employee profile, a box in front of each deduction or charge applies it to the employee or not: unticked, it is 0 but stays on the payslip with its rate. The rules apply to the payslips generated or regenerated afterwards; a validated payslip keeps its amounts.
Why does my payslip differ from my accountant's?
Because GO4SCHOOL applies the law by default, and a firm sometimes follows a practice of its own. By law: a benefit provided in kind (housing, phone, vehicle…) is valued on the tax scale (housing 15%, vehicle 10%, phone 5%…), at most its real amount (CGI art. 33-1); the 30% professional expenses are capped at 400,000 CFA francs a month (art. 34); the 62,000 CFA francs threshold under which no IRPP is withheld is read on the gross salary (art. 81); a private school pays neither the employer CFC nor the FNE (law 90/050); the base of the CFC and of the FNE is rounded down to the thousand; the TDL is read on the monthly base salary, without bonuses or adjustments. The scales of the IRPP, the TDL and the RAV, the share of the bonuses of the month (13th month, gratification…) and the seizable share are settings too, the law by default. Compare both payslips line by line (taxable salary, contributory salary, net taxable), then reproduce your firm's practice in GO4SPAYROLL › “Calculation rules”: valuation of a benefit in kind and what the CNPS counts of it, base of each deduction or charge, private-education exemption unticked, base of the income-tax threshold, scale of the school, share of a bonus of the month, charge “Not applied”… Then regenerate the month's payslips that are not validated. See the guide “Calculation rules”.
How do I run the payroll of a group of several schools?
In a complex of several schools, GO4SPAYROLL opens from the menu of the complex, under « Modules », and covers every school; the selector of the top bar offers « All schools » or one. It opens on « All schools » each time you enter it from another space, and its dashboard then adds up the schools; a batch of salaries, though, is paid school by school. A person has one salary profile and one payslip, even when teaching in several schools, and the staff attached to the complex can be paid. Each profile carries a « School charged » that books the salary; hourly lessons go to the school of their class. A school on its own keeps GO4SPAYROLL in its own menu. Under « All schools », the CNPS declaration and the DIPE show one block per employer: the schools holding the same NIU and CNPS employer number are declared together, the others apart, and each block has its totals and its « Download this block in Excel » button. See the guide « Payroll at complex level ».
How do I take a loan or a garnishment from an employee's pay?
In GO4SPAYROLL, « Loans and garnishments » → « New loan or garnishment »: choose the employee, the type, the label, the total amount, the monthly part and the start month (and the beneficiary for a garnishment). Each generation of payslips takes the monthly part from the net, never bringing it under zero: what does not fit waits for the next month. « Stop » ends the deductions with a reason. The money of the loan itself is handed over separately, like an advance.
Where is the staff of the complex managed, and how do I say that someone belongs to the complex or to a school?
In a complex of several schools, open GO4SRH from the space of the complex (group « Modules »): it opens on « All schools ». The « Staff » list gathers the staff of the schools and of the complex, with an « Attachment » column and filter. At creation, the « Attachment » field asks for the complex or a school; to change it later, use « Transfer » on the record. The « Complex staff » entry of the Management menu was removed for the complexes that have GO4SRH.
How do I send a communication to every school of a complex?
In a complex of several schools, open GO4SCOM from the space of the complex (group “Modules”): for a complex-level role it is no longer in the sidebar of the school. It opens on “All schools”, with the list and the dashboard of the whole group. “Add a communication” then starts with the “Recipient schools”, all ticked: untick to narrow. The communication is sent on behalf of the complex; a copy goes out in each school, “all parents” means the parents of each ticked school, the summary counts the recipients school by school, and the original page gives the readings school by school. With several schools you reach all parents, the parents of a cycle or of a level, all staff or roles; with a single school ticked you get its classes and students back. Stories and news posts follow the same principle. A school with no complex keeps GO4SCOM in its sidebar, unchanged.
How do I share a news flash template or sticker with every school of the complex?
In GO4SCOM, “News flashes” → “News flash templates” (or “Sticker library”) → new template. With a complex role, the “Belongs to” field offers “Whole complex” or one of the schools: attached to the complex, the template or sticker is offered in every school; attached to a school, in that one only. Under “All schools”, “Whole complex” is chosen by default. A school sees and uses the templates of the complex, but only a role of the complex edits or deletes them. The platform's “System” templates serve everywhere and cannot be edited.
How do I suspend the messaging of a parent or a teacher in a complex of several schools?
GO4SCOM → “Conversations” → “Settings”. Under “All schools”, the “Teachers” and “Parents” lists bring every school together, with a “School” column: one row per person and per school. “Suspend” cuts the access in the school of the row only; a parent with children in two schools appears on two rows and is suspended in one without touching the other. To see one school only, choose it in the top bar.
Why is « All schools » only offered in some modules?
In a complex of several schools, a complex-level role finds « All schools » in the school selector of the top bar of GO4SPAYROLL, GO4SRH, GO4SCOM, GO4STOCK and GO4SHARE, whose pages can read every school at once. GO4SPAYROLL, GO4SRH, GO4SCOM and GO4STOCK open on « All schools » each time you enter them from another space; a school chosen in the module stays chosen while you stay in it. GO4SHARE offers the choice without opening on it. The other spaces work on one school: they do not offer « All schools » and go back to the school you work in. Under « All schools », the pages that cover one school only say so: for instance « Choose a school in the top bar… » in GO4SCOM to start a conversation, or « This page covers one school only: … » in GO4SRH for the pointing. Juju (GO4SIA) follows the same bar: on « All schools », its answers about money read the whole complex as long as you name no school. In the school selector as in the role selector, each school is shown with its logo; a complex, which has no logo of its own, takes that of the first of its schools that has one, and a school without a logo keeps the icon.
Do transport, catering and the infirmary follow the school year chosen?
Yes. In GO4SFLEET, GO4SCATERING and GO4SHEALTH, the dashboards and the dated lists (trips, fuel, maintenance, incidents, subscriptions, canteen attendance and menus, consultations, emergencies, vaccinations, screening campaigns…) follow the school year chosen in the top bar, in every school of the complex. For a past year, the figures « of the day » and « of the month » are those of its last day and its last month, and the page says so (« School year 2024-2025 »). Valid whatever the year: vehicles and circuits, technical inspections and their due dates, medical records, the pharmacy, the catalogues (allergies, diets, dishes) and the entry forms. The « Day », « Week » and « Month » shortcuts of the canteen needs start from the year chosen, and assigning a student to a circuit checks their subscription of that year. These three modules have no school selector: their data covers the whole complex. GO4SMS, GO4SDRIVE, GO4SIA and GO4SHARE, none of whose pages is read by year, show no school year in the top bar.
In a complex, must SMS notifications be set school by school?
No. In GO4SMS → “SMS notifications”, a complex of several schools sets a “Rule of the group”: a global switch and the SMS types, once for all the schools. Each school follows it, unless you tick “Keep a setting of its own for this school” in its block. Existing settings were carried over: the rule of the group is what most schools were doing, and the others kept their own. The SMS of a communication written for the complex goes out in every chosen school, whatever each school’s setting.
Does someone working in two schools have two leave balances?
No. Their leave is kept once, on their oldest record, with the leave types of that school: the entitlement is earned once and a request made from the other school counts on the same balance. A balance left on their other record is flagged « Duplicate balance » in « Leave balances »; it is not merged automatically.
Is an absence taken off the salary?
Only when the HR ticks « Not paid: take it off the pay » on the absence. The payslip of the month then takes a share of the base salary per day of absence (half a share for four hours at most). The school sets this share in GO4SPAYROLL → « Calculation rules »: one thirtieth by default. Unticked before the payslip is validated, the absence takes its deduction back.
How is overtime counted and paid?
The whole staff clocks in and out. In GO4SRH → « Overtime », « Calculate from the clocking » proposes for the month what each person worked beyond the hours of the school; the HR approves or rejects. The hours approved are paid on the payslip of the month as an « Overtime » bonus, with the increase set in GO4SPAYROLL → « Calculation rules » (empty: plain rate). The teachers are not counted: their lessons are paid by the hour.
A teacher paid by the hour does not clock in their lessons: how are they paid?
The payslip pays by default the hours of the lessons validated in GO4SBOOK's hours control. For a teacher who does not clock in, the payroll manager enters the hours really taught in the month, per class and subject, in GO4SPAYROLL → “Hours of the month”. The “No hours”, “Gap with clock-in” and “To check” counters lead to the cases to review; each box is saved when you leave it, and “Checked” is ticked teacher by teacher. For many hours at once, “Export” gives the Excel file of the month and “Import” reads it back. At every generation, the teachers not checked yet are shown before the calculation. A line entered replaces the clock-in of that month; an emptied box goes back to it. After a correction, regenerate the payslip; a validated or paid payslip can no longer be changed.
Where has the housing allowance of a salary profile gone?
The housing allowance and the housing benefit in kind are one and the same: in GO4SPAYROLL, the salary profile carries a single line, “Avantage en nature : logement (indemnité de logement)”, under “Benefits in kind”. The same goes for the phone and the vehicle. An amount entered before as a housing allowance has been added to it. These three benefits are valued on the tax scale for the tax and the contributions (housing 15%, vehicle 10%, phone 5% of the taxable gross, at most their real amount), but they are paid with the salary: they stay in the net pay, on the payslip as in the simulator. The other benefits in kind (food, electricity, water…) are provided, not paid, and taken back on the net. Payslips already generated keep their amounts. See the “Salary profiles” guide.
Can the most favourable of the real amount and the tax scale be taken for a benefit in kind?
Yes, item by item. In GO4SPAYROLL → “Calculation rules”, tick “Take the most favourable” (hover the box for the detail) under the benefit. The taxable salary then counts the smaller of the two, the contributory salary the larger, whatever the valuation chosen; unticked, the rule chosen applies as before. The payslip shows, under the benefit's line, the real amount, the scale and what each salary counted. The choice applies to the payslips generated or regenerated afterwards.
Where do I enter the hire date and the leaving date of an employee?
On their record in GO4SRH, block « Position & Contract ». The payroll reads them to pay the first and the last month pro rata. A date entered in the payroll also reaches the record: there is only one value.
Where do I record the children, documents, sanctions and missions of an employee?
On their record in GO4SRH → « Staff ». Under their details, five blocks are managed on the spot: « Dependants », « Arrival and departure », « Documents of the record » (with their expiry date), « Disciplinary record » and « Missions and travel ». Each block has its « Add » button.
How do I print a work attestation or a work certificate?
Open the record of the person in GO4SRH and use the « Export » menu: « Work attestation », « Salary attestation » (when they have a salary profile) and « Work certificate » (once their leaving date is entered). The employee can also print their own work attestation from « My HR space ».
How am I warned of contracts ending, documents expiring and medical visits?
GO4SRH → « HR deadlines » gathers, for the next 30, 60 or 90 days, the ends of contracts and trial periods, the documents and licences that expire, the medical visits, the leave carried over about to be lost, the dated tasks and the service anniversaries. What is late stays in sight.
How do I follow a recruitment and hire a candidate?
GO4SRH → « Recruitment » → « Open a post », then add the applications in the post and move their status along. On an « Accepted » application, « Create the record » opens the staff form filled in; once saved, the application becomes « Hired ».
How do I publish a job offer and receive the applications on line?
In GO4SRH → « Recruitment », open the post and click « Publish the offer ». The offer gets a public link with an application form (last name, first name, email, phone, résumé as PDF or image). Share this link on Facebook, WhatsApp or LinkedIn, or download the job description as a PDF with its QR code. When you tick the box provided, the offer also appears on the job offers page of go4school.net, where candidates search by word and filter by country, city and group of schools. Each application lands in the post and you are told by email.
Where do I follow the training of the staff?
GO4SRH → « Training »: create a session (title, provider, dates, cost), enrol the staff, then say who attended and the result obtained.
What does an employee see of their own record?
« My HR space », at the top of the GO4SRH menu, is open to anyone who has a record: their leave balances, their latest requests, their contract, their documents, their dependants, and their work attestation to print. They never see the record of someone else. The same page is also in the school menu and in the Teacher, Pedagogical animator, Cashier and Steering spaces, with a form to request leave in one's own name.
Is unpaid leave taken from the pay automatically?
Yes, when the leave type is marked « not paid » in GO4SRH and the request is approved. When payslips are generated, GO4SPAYROLL writes an « Absence » deduction of one thirtieth of the base salary per day of the month concerned; it shows in « Salary adjustments », where you can cancel it. A paid leave takes nothing. The paid leave balances are also printed on the payslip.
How do I plan a salary raise?
On the salary profile of the employee, card « Salary history », click « Plan a change »: give the month, the new base salary (or the category and echelon) and the reason. The payroll of that month applies it on its own. When the month is already paid, the difference of each paid month is added to the next payslip as « Back pay ». The same card keeps the history of every change, with its author. For a whole group, the « Salary grid » (in « Calculation rules ») plans the changes at once.
What do I do when an employee leaves the school?
On their salary profile, card « Departure and final pay », record the last day worked and the reason. Then generate the payslip of that month: it is calculated for the days worked, adds the paid leave not taken and takes what is left of the loans at once, within the net. The employee is no longer offered for the following months.
How do I estimate a salary before hiring?
In the GO4SPAYROLL menu, group « Settings and steering », open « Salary simulator ». Enter the base salary, the hourly lessons, the bonuses, the other deductions of the month (advance, loan, garnishment) and tick the deductions applied: the result is detailed like a payslip, with the net to pay and the total cost for the employer. To start from the net promised, leave the base salary empty and give the net wanted. Nothing is saved. You may keep a simulation under a name, open it again, and print it as a “simulated payslip” (fictitious employee, marked SIMULATION). In “Calculation rules”, “Download the rules” gives as a PDF the rules as they are saved, to keep or to hand over. “Rules (Excel)” gives the same rules in a file to change and import again: the screen shows what changes before applying it. It is the way to carry the rules from one school or one installation to another without entering them again.
Where are the payroll book and the CNPS declaration?
In the GO4SPAYROLL menu, the group « Statements and declarations » gathers « Payroll book » (one line per payslip, one column per rubric, Excel export), « CNPS declaration » (the amounts of the month laid out like the summary of the CNPS portal), « DIPE » (the document of the month, one line per employee, Excel export) and « Cost by school and budget ». The « Transfer order » (lists for the bank and the Mobile Money operator) is in the group « Payslips and payments ». Only validated or paid payslips are listed in these statements.
How do I correct a payslip that is already validated?
When the payslip is validated but not paid yet, open it and click « Rectify » with the reason. The payslip is cancelled with its entry and its payment to make, then calculated again for the same month; the old one stays in the history with a link to the new one, which must be validated in turn. A payslip already paid is not rectified: correct the gap on the next pay, with a back pay or an overpayment taken back in « Salary adjustments ». The right to change payslips is needed.
How do I manage stock and purchases?
The GO4STOCK module manages items, their categories and locations, stock movements, physical inventories and threshold alerts. On the purchasing side, it covers price requests to suppliers, purchase orders, deliveries and supplier invoices, whose approval creates an expense in GO4SXPENSE. The canteen (GO4SCATERING) sends it stock requests, which you approve and then deliver; medicine requests approved in GO4SHEALTH take the items out of stock by themselves.
Can a whole school complex hold a single stock?
Yes, this is the rule: a complex of several schools holds one stock, run by one office. This stock lives in the books of one school, the carrier school, which pays stock invoices. If one school only already has a stock, it becomes the carrier school by itself. If none has one, GO4STOCK asks a role of the complex to choose it, in the “Stock of the complex” menu. If several schools already have their stock, GO4STOCK opens on “All schools” and adds up their stocks until they are brought together; the selector of the top bar filters on one school, and a record is created in the school chosen. Once the carrier school is named, the top bar shows “All schools”, the whole stock, and choosing a school filters it: each location says which school it stands in (or “Central store”) and an exit may say which school it leaves for. A role of the complex opens GO4STOCK from the menu of the complex; a role attached to a school keeps it in the menu of its school, with its rights. A school on its own is not concerned and keeps its own stock.
Which school is a stock invoice charged to in a complex?
The carrier school of the stock pays every stock invoice: the approved invoice becomes an expense in its GO4SXPENSE. In GO4STOCK, “Stock of the complex” menu, the “Split of the stock invoices” card sets in percent the part of the charge each other school bears; the carrier school keeps the rest. On each invoice, the “School that bears the charge” choice says in whose books it is written: one school alone, or “Split between the schools” with a percentage per school; it first offers the split of the complex. Each school records its share in its own books and owes it to the carrier school on the account between the schools: the books of the secondary, the primary and the nursery stay separate.
How do I send communications to parents and staff?
In GO4SCOM, “Communications” → “Add a communication” opens a wizard for parents or staff: you choose the type (notice, invitation, summons, memo…), the recipients — all parents, those of one or more classes or a few students; all staff, by role or by name — then sending by e-mail and notification, with optional SMS, immediately or scheduled. Each communication's page tracks reads and replies. For an ongoing exchange, “Conversations” gathers private conversations between parents, teachers and the administration.
How do I manage the school's expenses?
In GO4SXPENSE, an expense is entered in four steps (“Add an expense”): category, details, lines with supporting documents, summary. It then follows the school's approval circuit, with one, two or three levels depending on its amount including tax and its budget, and waits in “Payments to be made”, from where it is paid from a treasury account of the school or an expenses desk held by you, with an exit voucher signed by the payee; with neither, the payment form says so and “Pay” stays greyed out. The module also tracks advances to justify, money owed, refunds to families and remittances to third parties. An expense that comes back (rent, electricity, subscription) is scheduled from its sheet with “Repeat this expense”: at each occurrence it is prepared in draft, to check and submit. A member of staff who advanced money files their own expense claim, with its receipt, from “My expense claims” in their space: it reaches the validators as an expense to refund to them. “Invoices schedule” sorts what the school owes by due date, and “Cash forecast” projects the balance over twelve weeks from what it holds, its invoices, its recurring expenses and the families' due dates. With GO4SIA, “Read an invoice” prefills the entry from the photo or the PDF of the invoice: you check then confirm. In a complex, an expense one school pays for several is split before its validation (equal parts, enrolment or percentages): each school bears its part in its accounts. If GO4SCOUNT is active, the expense is committed in the accounts when validated and settled when paid.
How do I generate student and staff cards?
In GO4SDOC, “ID Cards” group, “School cards” produces the students' cards and “Staff ID Cards” the staff's, with an embedded QR code and the design of your choice. Student cards are made for chosen students, classes or the whole school, and only cover students enrolled in the current year and not withdrawn. Last name, first name, registration number, class, gender, photo, date and place of birth are mandatory: validation flags a student missing any of them, the photo for instance, and generation only starts once every student of the batch is complete; the school's logo must also be uploaded. Complete the records, or generate class by class, then run the validation again. The cards are gathered in an A4 PDF, downloaded as a ZIP file for printing. The student's QR code is then used for bus boarding, canteen check-in and identification at the infirmary.
How do I issue a school certificate, a withdrawal certificate, an attestation or a diploma?
In GO4SDOC, “Certificates & Attestations” group: “School certificates”, “Success attestations”, “Completion attestations” and “End of cycle diplomas” are generated for one student, a class or the whole school, among the students enrolled in the chosen year, with their class of that year. Regenerating diplomas retries the failures without giving a second diploma to a student who already holds one. “Withdrawal certificates” follows a wizard: at the checks step, the four boxes (school fees, canteen, transport, parental authorization) must be ticked, and validation withdraws the student from that year's enrolment, without erasing their history. The signatory is entered in the wizard; left blank, the school certificate, the success attestation and the withdrawal certificate carry the name of the school's director.
How do I manage several schools within the same school complex?
The Complex space brings together an overview and consolidated pedagogical and financial dashboards of all active schools, then, in the management group, complex staff (drivers, head nurses…), users and the subscription, and in the settings group, roles & permissions, and “Signatures & Stamps”. Transport, health, canteen, SMS, the AI assistant and GO4SINSIGHTS open from the complex; the other modules stay specific to each school. The schools group of the menu opens a school, and some modules, such as GO4SRH, offer an all-schools view.
How do I manage official exams?
In GO4SBOOK, open “Official Exams” (shown when the school has a class at an exam level): create a session, register the candidates, enter or import their results, validate them, then publish them to families. The dashboard shows the pass rate, distinctions, breakdown by series and gender and the top 10. Mock exams are handled in the same place with the same indicators. Parents see their child's result, mark, distinction and transcript.
How do I track solvency and manage moratoriums?
“Solvency Tracking” reads in two tabs and opens on “By class”. “By student” shows, student by student, what is due, paid and outstanding on school fees, with a rate, a status (solvent, partial, insolvent), the state of moratoriums and the “Contact” (the priority parent's phone), exportable to Excel (one “Students” sheet, class after class) or PDF; “By class” shows the recovery by class, cycle or discount reason; a student's page downloads as a PDF or Excel financial statement. A moratorium pushes a due date back (deadline extension) or splits it into installments (installment plan): the bursar's office creates it in the “Moratoriums” menu at the family's request, then approves or rejects it, and the parent follows the request in their space. Above the threshold set by the school, only the holder of the right to grant above the threshold approves it. An approved moratorium on a transport or catering fee keeps the student's access to the bus or meals until the granted date.
How do I download a student's financial statement?
In GO4SFEES, open “Solvency Tracking”, click the student, then “Download the financial statement” and choose “Financial statement as PDF” or “Financial statement as Excel”. The document uses the figures of the student's page, over the years of the top bar (fiscal year or chosen school year), without the GO4SCHOOL service fee: “Total due”, “Paid”, “Awaiting validation” (money handed over but not validated yet: a collection under reserve, a direct entry, a proof sent by the parent) and “Left to pay”, the “Paid vs left” and “Progress by fee type” charts, every fee with its state (paid, partly paid, awaiting validation, overdue, not paid yet), the payments made, cancelled ones included, and the requested or granted moratoriums. The Excel file arranges this data in “Summary”, “Fee breakdown”, “Payments” and “Moratoriums” sheets. The button appears with the read right on “Financial Statistics”.
Where can I see everything that came in and went out of the school over a period?
In GO4SFEES › “Statistics” › “Cash flow”. Choose a preset period (today, last week, last month…) or “Custom” with two dates: the page gives the entries (every payment not cancelled, whatever its channel), the exits (the expenses paid and what is paid back to third parties) and the balance, their evolution by day, month or year as a chart or a table, the breakdown of the entries (fees by school year, money held for others, other revenues by category) and of the exits by expense type and by third party paid back. The “Scope” picks all the money, the school's own money only, or only the money held for others. The overview opens with the “Financial Statistics” right.
Why does the cash flow change between “Operation date” and “Recording date”?
“Operation date” counts each payment on the declared date of the operation; “Recording date”, on the day it was typed into GO4SCHOOL. A payment taken over from former software or typed a few days later therefore falls on two different dates. Use the operation date to analyse, the recording date to check a desk: it is the basis of the daily statements.
How do I get a statement listing every entry and every exit?
In “Cash flow”, “Daily statements” tab: the “Statement” button of a day downloads its full PDF: the school's identity, every desk and account (even at 0), the payment methods of entries and exits, school fees by fee and by instalment, the products and services sold, other revenues, the breakdown by section, level, speciality and class, then every operation, one per line. The “Journal” button downloads that day's condensed journal of school fee payments alone, with “Fees collected”, “Fees refunded” and the net. “Custom statement” covers one day or up to 92 days, every desk or one, with the parts you tick. The “Journal” tab also lists each operation, filtered and exported to Excel. It needs the “Evening treasury report” right. The evening report stays a summary: it starts with “Whole school: entries and exits”, by channel and by expense type.
Can we see the cash flow of every school of a complex?
Yes. A complex role picks « Toutes les écoles » (every school) in the top bar of “Cash flow”: the page adds the schools up and adds a table by school; the full statement then carries the complex's name. The complex's financial dashboard leads there with “See the cash flow of every school”. This view is read only: collecting and spending stay school by school.
How do I see the cash flow without the money the school collects for others?
In “Cash flow”, choose the “Scope”: “Without money held for others” takes out the fees collected for a third party (parents' association, insurance…), the deposits and what is paid back on them; only the school's own money is left. “Money held for others” does the reverse: only that money, and what was paid back from it, counted as an exit. “Everything” adds both. The choice also applies to the daily statements, the journal and the export.
How do I mark a fee as collected on behalf of a third party?
In “Fee settings”, at the fee's “General configuration” step, tick “This fee is collected on behalf of a third party” and type the “Third party's name” (parents' association, insurer…), required once the box is ticked. That money is not school revenue: the accounts record it as owed to the third party, it is followed in “Funds held for others”, and the cash flow can show it or leave it out. On the same step, the “Levels” field ticks every class of a level at once.
Can I follow the solvency of several classes or a whole level at once?
Yes. In “Solvency tracking”, tab “By student”, the “All classrooms” and “All levels” filters take several choices: the list keeps the students of the ticked classes and of every class of the ticked levels. The cards, the exports and the reminder follow that filter. The summary PDF then gives one page for the school and one page per class.
How do I know which classes or cycles pay the worst?
In GO4SFEES › “Solvency Tracking”, “By class” tab, the “Recovery by group” table groups the students by class, level, cycle, section, speciality or discount reason and gives for each the expected revenue, the total collected, what is left to collect, the discounts and the recovery rate. You may keep only the solvent students or those who still owe, count the payments received up to a date, choose the fees, the classes and the columns, sort and export to Excel (with or without a sheet of the students) or to “PDF by cycle and class, over the fiscal year” (that PDF only counts the instalments and payments dated in the fiscal year: its expected amount may be lower than the table's, which counts the whole school year). A class name or “See the students” opens the class's page: its figures, its fees by type, its students, its reminder and its exports (with the list of students or statistics only); “Remind” opens the reminder on the class. The chevron before a class name shows its students under its row, with the table's columns; a student's name opens their collection: the counter of your desk if you keep one today that serves the student, otherwise, if you may create transactions, their sheet in “New collection”; their ⋮ menu offers “View the sheet” and “Send a reminder” (that student alone).
How do I remind the parents of the students who have not paid?
In “Solvency Tracking”, filter the list (a class, “Insolvable”…) then click “Remind”. Choose a deadline: only the students who still owe by that date are reminded, for what is left due, arrears included. Tick the channels: e-mail for the parents with an address, push for those with the app, SMS when « Reminder of unpaid fees » is on in GO4SMS (the number of SMS charged is shown). Keep the predefined message or write your own with {eleve}, {classe}, {montant}, {date} and {ecole}. Each sending is kept in “Reminders sent”. It needs the “Payment reminders” right.
Can we print payment reminder letters?
Yes. In “Solvency Tracking”, “Reminder letters” produces one letter per student of the filtered list who still owes, with the detail of their dues and a slip to detach. Choose the tone, “Friendly reminder” or “Stay at home” (notice before temporary exclusion), then “Download (PDF)” to print, or “Send by e-mail” to attach each letter to the parents' e-mail. The signature and stamp are those set in the complex's « Signatures and stamps » for the “Payment reminder letter”.
Are parents warned automatically before a due date?
Yes, every day, for the pending dues of active fees. A fee with its own reminders in its settings (so many days before the due date, by e-mail, push or SMS) follows them; the others are reminded on the day or within the next two days, by e-mail, push and SMS. The SMS only leaves when GO4SMS sends « Reminder of unpaid fees » for the school. The GO4SCHOOL service fee and optional formulas nobody chose are never reminded.
How do we compare our headcount with last year's on the same date?
In GO4SBOOK › “Enrolment tracking” (or GO4SFEES › “Statistics” › “Headcount”), choose “Headcount on” and, in “Compare with”, the year you want: the other year is read at the same point of its own start. The page gives the active, new, returning, repeating, promoted, boarder, day and half-day enrolments, and the “Month by month” table shows the headcount at the end of each month, its share of the final headcount and the change against the other year. Everything exports to Excel.
How does sector surveillance work?
Reserved for secondary schools, sector supervision is set up on the web in GO4SBOOK → sector supervision: the school divides the premises into sectors (wing, block, level, zone) and assigns a lead supervisor. Field work happens in the mobile app under the sector supervisor profile: rounds of the lessons with findings, declaring student absences and latenesses, teacher absences and disciplinary incidents, validating or contesting lesson reports, and the daily report. Findings feed the sector's logbook.
Do I have to enter the return date of an exit authorization?
No. In GO4SBOOK → “Exit authorizations”, only the “Exit date and time” is required. Leave the “Expected return date and time” blank when it is not known yet when the student will come back (illness, departure): the authorization is then never marked “Overdue”, the PDF letter only gives the exit time and says “The return date is not set yet”, and the parent reads “Not known yet”. When entered, the return must be after the exit.
Which staff job functions does GO4SCHOOL offer?
In GO4SRH, the “Functions” field of a staff member's record offers a catalogue shared by all schools: management (including “Administrative and Financial Director” and, since 14/10/2026, “Marketing and Communication Director”), administration, teaching, services and support. A person may hold several. The “Functions” menu lists those held by the school's staff and lets you create one that is missing.
How do I export the student list?
In GO4SBOOK → “Student Management”, set your filters, then click “Export”: tick the columns you want and choose “Export Excel” or “Export PDF”. The columns always come in this order: Registration number, Full name, Academic year, Enrolment date, Last names, First names, Gender, Date of birth, Place of birth, Status, Contact (the phone of one or two parents), Language (section of the class and language option), Father, Mother, then Age, Cycle, Classroom and Repeating. The enrolment columns cover the year chosen in the top bar.
How do I see the students newly arrived in the school?
In GO4SBOOK → “Inscriptions”, choose “New students” in the “New and returning students” filter: the list keeps only the students whose enrolment of the chosen year is their first in the school, and the export keeps this filter. “Returning students” shows the others. A student back after a year away counts as returning; a student come from another school of the complex counts as new. On the dashboard, the “Enrolled Students” card also shows “including N new”, which opens this filtered list.
How do I print student lists?
In GO4SDOC, « Documents administratifs » group, “Student lists” menu: the page shows the lists already generated (search by requester, filters by year, template, format and status); click “New list”. The “Student lists” button of “Student Management” or of a class page in GO4SBOOK opens this form straight away, with the class already ticked from a class page. Choose the year, then one of the nine templates: simple list, detailed list with registration number, birth and contacts, list with the parents, mark sheet to fill in, mark sheets by subject (one or every assessment, filled with the subject, teacher and coefficient when you choose a course), weekly attendance sheet, parents' meeting attendance sheet, or every class in one document. Options: extra blank lines, segmentation by repeating, age or new students; classes: the whole school, or the ticked classes, levels, sections or series; PDF (portrait or landscape, landscape by default for the list with parents and the weekly sheet), Excel (one sheet per class) or CSV; French or English. One class ticked: the file downloads at once and stays in the list. Otherwise it is prepared in the background and shows as “Ready” in the list, where you download it, regenerate it with today's data or delete it. A click on a document's name (or “View details” in its “Actions” menu) opens its page: status, Download, Regenerate and Delete buttons, the reason for a failure, the information (year, format, orientation, language, requester, dates, file), every setting with the classes or groups ticked, and the PDF shown in the page (no preview for an Excel or CSV file). The “Student lists and headcounts” right is needed (read to see and open the details, create to generate).
How do I produce the headcount distribution by girls and boys?
In GO4SDOC, « Documents administratifs » group, “Headcount distribution” menu, then “New distribution”. Choose the year, a first criterion in columns (repeating, age or new to the school) and, if needed, a second one in rows under each class; tick the enrolments counted (active by default, plus suspended, struck off or transferred if needed); group the classes by level, section or series, with a subtotal per group and the school's total; PDF (portrait or landscape) or Excel (“By group” and “By class” sheets). A distribution is always prepared in the background and shows as “Ready” on the menu's page, where you download it, regenerate it with today's data or delete it. A click on its name (or “View details” in its “Actions” menu) opens its page: status, Download, Regenerate and Delete buttons, the reason for a failure, the information, the settings (criteria, enrolments counted, grouping and groups kept) and the PDF shown in the page. Same right as the lists: “Student lists and headcounts”.
How do I correct a report card already generated?
Correct the marks in GO4SBOOK, then click “Regenerate”: in the generation's menu (history of the report cards), at the top of its “Details” page or at step 3. The same generation is redone with the same settings (class, period, language, council minutes, honour roll, signatures) and today's marks, and you resume at step 2 to check it like a new one. The previous report cards are not erased: they stay readable on the “Details” page, among the report cards of previous generations. If the report cards were already published, the publication is kept: the parents who receive them see the new version as soon as it is ready and are told again. “Regenerate” is not offered while a generation of the class is running, and needs the update right on report cards. Reprint the paper report cards if the results changed: the old verification code is no longer recognised.
How do I follow enrolments against last year?
In GO4SBOOK, « Élèves et familles » group, “Enrolment tracking”. For the chosen year, the page compares with the year before the active enrolments, the new students (first enrolment in the school), the returning ones, the repeating ones, girls, boys and the students who left during the year, and gives the re-enrolment rate (the share of last year's students enrolled this year). A curve shows the pace of enrolment week by week around the start of the year, this year and last year at the same point; another the evolution over every year of the school; a table the detail by class with the change on last year and, in a complex, one line per school. Filters by section and level, Excel export. The page has its own read-only right, “Enrolment tracking”: a department can follow the figures without seeing the student list. With this right, the Juju assistant answers these questions too.
Can the same course be created for several classes at once?
Yes. In GO4SBOOK → “Course Management” → “Add new course”, choose the first class and the subject, then tick the other classes under “Also create this course in” (only those of the same school and cycle are offered). One course is created for each class, with the same subject, coefficient, scale and teachers; leave the code blank, each class receives its own. Everything else (timetable, sessions, grades, report cards) works as before, class by class, and each course is then edited on its own. The record of a class, in “Class Management”, lists its courses taught.
What are the GO4SCHOOL service fees?
GO4SCHOOL service fees open the family's access to the platform, student by student and year by year. Depending on the choice made with GO4SCHOOL, the school covers them (nothing is asked of families and the menu is hidden), or families pay them: separately, or inside the tuition, in which case the GO4SCHOOL share is taken from each student's first validated payment. When paid separately, they are paid online, or in full at a school cash desk; until then, the student's information stays locked for the year (unless they are offered as optional), but the parent sees their fees and can pay. This money is never school revenue: the share the school collects is held for GO4SCHOOL, shows in “Funds held for others” and is tracked student by student in the “GO4SCHOOL service fees” menu.
How do I set up collection cash desks?
In GO4SFEES, “Cash desks” menu, “New collection desk” creates a counter entrusted to a holder, with its substitutes, opening hours, cash float, cash holding cap, gap tolerated without justification, classes served, fee categories and payment methods accepted, and the people, accounts or safes that receive its remittances. The holder gets the “Cashier” role and works in the cashier's space. As soon as an active or suspended desk exists, the school's cashiers work only there, and cash is only collected at a desk. A desk is never deleted: it is suspended or closed. The steps the desks follow (counting, remittance, validation, reminders, evening report) are then set in “Cash desk rules”.
How do I take out the counting, the remittance or the validation of cash days?
In GO4SFEES › “Cash desks” › “Cash desk rules” (the former “Collection rules” page leads there). One card per step: 1 Collection, 2 Close, 3 Counting, 4 Remittance, 5 Validation by the bursar, 6 Accounting and evening report. Four starting points set everything at once: “Full offer”, “Without remittance”, “Without validation”, “Collect and close”; each step can then be adjusted. Counting, remittance and validation can be taken out: a step taken out is done by GO4SCHOOL and disappears from the screens. Without counting, the day closes counted as expected; without remittance, “Remit” disappears from the desk and the cash is handed over by hand; without validation, GO4SCHOOL validates the day when it closes. The remittance needs the counting. “Applies to” sets the whole school, or a single desk: the desk follows the school for any step it does not set itself. In a complex, tick the other schools to give them the same rules. The page is edited by the bursar, or by whoever holds the right.
Is the photo of the cheque or slip required when collecting?
No, never. For a cheque, a bank transfer, a bank deposit or a mobile deposit, the “Photo of the document” field (a photo or a PDF) is offered at the cash desk counter, in GO4SFEES › “Nouvel encaissement” and in the cashier's mobile app, but the collection goes through without it. To hide it, untick “Offer the photo of the document (cheque, transfer, bank deposit, mobile deposit)” in GO4SFEES › “Cash desk rules”, card 1 “Collection” (ticked by default), then “Save the rules”; in a complex, tick the other schools to give them the same choice. The setting applies to the whole school, all its desks included. Cash has no photo; a mobile payment always keeps its own, optional.
How do I close every desk at once?
In GO4SFEES › “Remittances”, “Close the whole school”. A window lists the days still open, then “Close now” closes them all: no more collection today at these desks. Where the school counts the cash, each cashier then counts their day in “My day”; otherwise they are counted as expected. A cashier can also close their own day with “Close my day”.
Who is reminded when a remittance or a day is waiting?
While a remittance or a day waits to be validated, the school’s bursars receive an e-mail and a notification. The pace is set in “Cash desk rules”, card 5: “Every day, at the chosen time” (6 p.m. by default) or “Every N hours” (only between 7 a.m. and 8 p.m.). After a number of reminders left unanswered (3 by default), the roles chosen in “Whom to tell then” (“Founder” by default) are told too. These reminders replace the single alert after 24 hours. Without the validation step, there is nothing to validate and nobody is reminded.
How do I record a payment that reached a school account directly?
In GO4SFEES › “Collections” › “New collection” (also at the top right of the “Payments journal”), the bursar collects without a cash desk: look the student up by name, first name, registration number or card, then “Collect” on their sheet. Choose the method: cheque (number and photo), Mobile Money (school account credited and transaction number), bank deposit or transfer (slip number and the school's bank account), mobile deposit (reference and the school's mobile account). In a school with cash desks, cash is not offered there: it is collected at a desk. If your role may validate transactions, the collection is validated at once and posted to the accounts; otherwise it waits in “Transaction validation” until someone has seen the money on the account. Since 29/10/2026, “New collection” replaces the former four-step “New Transaction” and its drafts.
How do I collect a donation, a subsidy, a rental or a sale?
In GO4SFEES › “New collection”, “Another receipt” card: one tile per receipt (Donations, Subventions, Location infrastructures, Sale of supplies, Other, and those of your school), plus the fees a desk takes “off the schedule” for a student, such as a card duplicate. Write the “Label, printed on the receipt”; for a rental, what is rented and the “From” and “To” dates; for a sale, what is sold and the quantity; for a subsidy, the agreement reference if you have it. In “Received from”, choose a person, an organisation, or a parent or a student of the school (who then gets the receipt in their parent space); the phone, marked with an asterisk, is asked for a person or an organisation; forgotten, the error is written under the field and the rest of the form is kept. Then the amount received, the payment method, and “Collect” or “Collect and print”. A receipt written by hand on another day is caught up with “Late entry”, within the last 31 days. In-kind donations are not handled.
How do I export the “Payments journal”?
In GO4SFEES › “Payments journal”, set your filters, click “Export” and tick the “Fields to export”: “Transaction Date”, “Receipt number”, “Student or third party”, “Classroom”, “Transaction Type”, “Amount”, “Payment Method”, “Reference”, “Channel”, “State”. “Classroom” is the student's class in the school year of the fee paid, else their current class, “—” for a receipt without a student (donation, grant, rental, sale), whose “Student or third party” gives the payer. The PDF has the style of the school's documents: name and logo, fiscal year and filters in words, the amount collected in a green band (validated and pending), cards, the split by method and by channel, then the table and “Total collected”; the Excel file takes the same head and totals, amounts as numbers. Cancelled or rejected lines are listed, struck through, outside every total. Each PDF opened in the browser carries its real title (document, school, date).
How do I receive remittances and validate cash days?
Everything happens in the GO4SFEES “Remittances” menu, which replaces the former “Days to validate”. At the top, “Today’s desks” shows each cashier, the state of their day (“Open” or “Closed”), their cash and other methods, and “Evening report” the day’s totals; below, the days waiting: to count, to remit, remittance to receive, or a point to settle. Open the day: you receive the remittance and validate the day in one gesture. Tick each collection once checked (or “Tick all”), correct an amount if the money received differs, set a line aside with its reason, say where the money goes (a person, the school’s safe or a bank account), then “Accept the remittance and validate the days” — or “Accept and validate only what is ticked” when a cheque still has to be seen on the account. You can also refuse the remittance with a reason: it goes back to the cashier. If money is missing, choose “Owed by the cashier” or “Borne by the school”. On validation, the collections become transactions of the “Payments journal” and go into the accounts. The cancellation requests and the gap beyond the tolerance are decided on the same page; incidents, in the “Cash incidents” menu. The desks’ mobile money transfers are confirmed from the link “… mobile money transfers of the desks wait to be confirmed”. When the school took the validation out in “Cash desk rules”, GO4SCHOOL validates each day when it is closed.
Can the cashier validate their own day?
No, by default: a cash day is validated by someone other than the person who held it, and the validation is refused with “You held this day: someone else must validate it.” The setting is in GO4SFEES › “Cash desk rules” (under “Cash desks”), card 5 “Validation of the remittances by the bursar”: the box “The cashier never validates their own day” is ticked by default. A school with only one person to hold the desk and validate unticks it, then “Save the rules” (in a complex, tick the other schools to make the same choice). Unticked, it also lets you validate a cheque taken at your own desk; a cancellation request or a cash incident is always decided by someone else. This box used to be on the “Days to validate” page.
What is the evening report?
The “Evening report” tells the day of the school’s desks: the total collected by cashier (cash, other methods), the total by payment method, the remittances waiting to be validated, then the list of the day’s receipts. No line at zero: it fits on one or two pages of PDF. It goes out every evening at the chosen time: the notification gives the summary, the e-mail the detail with the PDF. It goes to the roles chosen on its page (GO4SFEES, evening treasury report right) and to the e-mail addresses added in “Cash desk rules”, card 6. In “Remittances”, the “Evening report” card shows the day’s figures and “Send now” sends it at once to all its recipients. The treasury parts (balances of accounts and safes, outflows, budget…) are no longer in the report: they are put together à la carte on the treasury report page.
How do I send the evening report to one more e-mail address?
In GO4SFEES › “Cash desk rules”, card 6 “Accounting and evening report”, field “Evening report also sent to”: type the addresses separated by commas, then “Save the rules”. They receive the e-mail with the PDF; an address that is a GO4SCHOOL account also gets the notification. These addresses come on top of the roles chosen on the report’s page (time, days and roles, link “Time, days and roles” on the same card). To send it right away, “Send now” in the “Evening report” card of “Remittances”.
How does an expenses desk work?
An expenses desk (GO4SXPENSE › “Expenses desk”) is one person's drawer that pays small validated expenses in cash; it never receives the families' money. Its money comes from a safe, a withdrawal from a school account, or a collection desk whose cashier hands it over from their day, and its holder always confirms what they counted on receipt. Each payment, made from “Payments to be made” within the cap per cash payout, issues a numbered exit voucher that the payee signs. One person requests the provisioning, another grants it and the holder confirms it: never two steps by the same person, and the holder never requests for their own desk, even with direct provisioning. It is set in four blocks: identity, caps and tolerated gap, provisioning, roles alerted; it has no hours, no float and no remittance. A collection desk, for its part, pays no expense; the only exception, when the school allows it on the desk, is its cashier giving a validated refund back to a parent in cash, from “Movements”.
Why can't I edit a cash desk I hold?
Whoever keeps a desk (its holder or a designated substitute) never sets its caps, its substitutes or its status, even with the right: someone else who holds the right does it. In the list of desks, the “Actions” menu then shows “Edit: you keep this cash desk”, greyed out, and the sheet says it too. Only the School administrator and the Founder set even a desk they keep, for instance one they created naming themselves its holder. The rule is the same for collection desks (GO4SFEES) and expenses desks (GO4SXPENSE), and for the accounts one keeps: a safe one is the keeper of, the mobile money number of a desk one keeps.
What is the difference between an advance to justify and a salary advance?
An advance to justify (GO4SXPENSE › “Advances to justify”) is school money handed to a staff member for a purchase: they justify it with invoices within the school's deadline and return the rest to the desk or account it came from. A salary advance (GO4SPAYROLL › “Salary Advances”) is part of the salary paid before payday, taken back from the following payslips according to its schedule. An overdue advance to justify can be withheld from the salary: the payslip then shows a line for the unjustified advance.
What are “Funds held for others”?
Some amounts collected by the school are not its own: a fee recovered for a third party (“This fee is collected on behalf of a third party” ticked with the third party's name, for example the parents' association or an insurer), a refundable deposit, or GO4SCHOOL's share of the service fees. They count neither as revenue nor in the recovery rate. The GO4SFEES “Funds held for others” screen shows how much came in for each third party, how much has already gone out and how much the school still holds, and lets you record the payment to the third party.
How do I turn on Orange Money or MTN MoMo online payment?
In GO4SFEES, “Desks and treasury” group, “Treasury accounts” menu, open the school's Orange Money or MTN account (or create it), tick “Receives online payments” and save: GO4SCHOOL pays the school's share of every online payment into it. As soon as an account is ticked, the operator is offered to parents, on the web and in the app; unticked, it disappears. There is no longer a general switch: a single Orange Money account and a single MTN MoMo account at a time receive online payments.
How do I show parents a number or bank details for manual payment?
In GO4SFEES › “Treasury accounts”, open the account and tick “Offered to parents (manual payment)”: its number or bank details are then shown to parents who pay by proof (deposit or transfer, then a proof sent and validated by the bursar's office). One account per operator (Orange, MTN, Express Union, Wave), as many bank accounts as needed; never a cash desk's number. The same number may be declared under several operators, if the school so chooses. The school's bank accounts are treasury accounts: there is no separate bank accounts screen any more.
How do I accept Express Union and Wave?
For manual payment only: Express Union and Wave do not receive online payments. In GO4SFEES › “Treasury accounts”, create a “Mobile operator” account, choose Express Union or Wave as the “Operator”, then tick “Offered to parents (manual payment)”. A parent who picks this operator sees the number and the holder, and three steps to follow in the operator's app; they then send the operator's receipt, which the bursar's office validates. Only one account per operator is offered to parents.
Where do I set who pays the online payment fees?
In GO4SFEES, “Settings” group, “Payments” menu. It brings together what used to be in the online payment and manual payment configuration menus: the split of fees between the school and parents, the USSD test and the fee simulator. Numbers and bank details are set on the treasury accounts.
Why doesn't my Orange or MTN statement show each online payment?
Because GO4SCHOOL first collects the parent's payment, then pays the net amount, fees deducted, to the school. The school's account therefore receives net payouts, not each payment. In the accounts, the fees are booked as an expense (account 63170) and the money in transit between the payment and the payout sits in account 58500. The treasury account's reconciliation therefore shows the payout, which you match with the statement line.
Can one account serve several schools of the complex?
Yes. In GO4SFEES › “Treasury accounts”, choose “Link to other schools” from the account's ⋮ menu. The number and holder are shared, but each school keeps its own account record, movements and reconciliation. The payment boxes (“Receives online payments”, “Offered to parents (manual payment)”) are ticked in each school.
How do I close a treasury account?
In GO4SFEES › “Treasury accounts”, click “View” to open the account's detail, then “Close” and confirm. A closed account receives nothing more (no online payments, manual payments or remittances), but nothing is deleted: it stays listed with its history.
How do I plan schemes of work and monthly schemes of work?
In GO4SBOOK, “Teaching” group, the “Schemes of work” menu (“Monthly schemes of work” in nursery and primary) keeps the syllabus in the ministry format, column for column: one progression per course in secondary (modules, learning units, lessons), one monthly plan per class in primary and nursery (units or months, disciplines or activities, weeks). Open a course (in primary and nursery, the class view): the card “Start the document” offers to import a file (the Excel template, or straight the ministry’s PDF or Word), to start from the official model, to carry the previous year over or to write it by hand. The “Export” button of the “Schemes of work” page gives the progress and every column of the chosen classes, in Excel or PDF. Above the table, a filter bar searches every column and sorts by status, unit or month, course, in “Simple view” or “All columns”. Each line tied to a course has its “Pending”, “In progress” or “Completed” tracking, changed from the line's “⋮” menu (“Mark as “Completed””…), which feeds course coverage and the programme pace in pedagogical statistics. Supports and exercises are attached in the line's form (“⋮” → “Supports and exercises”). Teachers work on the same documents from their “Pedagogical Follow-up”.
How do I export the progress of the schemes of work class by class?
In GO4SBOOK, “Schemes of work” page (“Monthly schemes of work”), click “Export” top right. Tick the classes (“All classes” or some; if the list is filtered on a class, only that one is ticked), then the ministry's columns to keep, grouped by cycle, with “Status” and “Progress”. Click “Export to Excel” (one sheet per class) or “Export to PDF” (one page per class). Each class gives the progress of each of its courses (teacher, lessons done out of the total, rate), then every line of its documents in the ticked columns. The export covers the school year of the top bar; the read permission on “Schemes of work” is enough. It is also the way to print a document: it no longer has a “Print” button.
How do I import the official scheme of work from the ministry's PDF?
Open the document (the course's progression or the class's monthly plan), click “Import from Excel”, then drop the ministry's PDF or Word file (.docx) straight into “2. Send the filled file”, 20 MB at most, and click “Analyse the file”. GO4SIA reads it in the background, three pages at a time, and shows you a preview checked cell by cell: nothing is written before you click “Import these lines”. Read the preview again, the reading can be wrong. This reading consumes the school's GO4SIA tokens (the person's personal tokens take over when the school can no longer pay) and needs GO4SIA to be open to your space and your role; otherwise, download the Excel template, fill it and send it instead. Teachers who own the document do the same reading from their space, on the web as in the mobile app (“Import a file”).
How do I follow pedagogical statistics and collect the summary report?
In GO4SBOOK, open the pedagogical statistics menu. The follow-up tab computes live the hours done, syllabus coverage and results by subject, class, teacher or course against the school's targets, with Excel or PDF export on the layout of the official sheet. Each term, the collection tab asks teachers for the summary report; it is validated, compiled by subject then for the school, commented by the head of school (who can start from a draft suggested by Juju) and closed. The settings tab sets the report templates, the validation circuit, hour control, tracking criteria, reminders and the class visit grid.
How are practicals and digital lessons counted in the pedagogical statistics?
Each progression line has a nature: theory lesson (LT), digital lesson (LD), practical work (LP) or digital practical (TPD). In secondary it comes from the course progression (“Nature” column); otherwise the teacher or the administration picks it in the line form, on the web or in the app, or in the “Nature” column of the Excel import. The follow-up then groups its criteria in the categories of the official sheet: coverage of the theory programme counts the lessons, digital lessons among them; practical work counts the practicals, digital practicals among them, each with planned, done and percentage. Tick them in GO4SBOOK › Pedagogical statistics follow-up › Settings › Follow-up criteria. In nursery and primary, the same natures are called activity, workshop, practical or digital activity.
How do I export the official sheet of the pedagogical statistics?
In GO4SBOOK › Pedagogical statistics follow-up, “Follow-up” tab, first set the period, the calculation, the grouping and the filters: the export takes them. Click “Export”: the menu recalls the exported period and lets you choose the columns, grouped by category (a category's box ticks all its criteria). Then “Excel” or “PDF”. The file follows the official sheet: three sheets “Intermediate classes”, “Exam classes” and “Overall” (when the follow-up is grouped by subject, class or teacher, over all classes), a “… TERM …” title for a term or “… ANNUAL …” for the year, A4 landscape, a two-row category header, the sheet's colours and, in Excel, percentages as formulas.
How do I check the hours declared by teachers?
In GO4SBOOK, open hours control to see the lessons declared as done over a period, with their evidence (QR scan, arrival scanned, sector report, lesson log, roll call) and an assessment: consistent, to check or contradictory. You validate, invalidate with a reason, correct a duration or regularise an undeclared lesson; in nursery and primary the check is done per school day. Nobody validates their own hours, nor a lesson they just corrected. The control mode and the roles that validate are set in the pedagogical statistics settings.
How do I set the signatures and stamps placed on documents?
In “Settings” → “Signatures & Stamps” (in the complex space for a multi-school complex), create a record for each signatory: their function, printed name, signature, personal stamp and administrative stamp. The signature per document type sets once the signatory and wording for each document: report cards, minutes, certificates, receipts, payslips, contracts… A signature can be reserved to its holder and authorised people, and every use is traced. A document already generated keeps its signature: regenerate it to apply a change.
How do I hand a class's grade entry to grade administrators?
On the class's form (GO4SBOOK → « Classrooms » → create or edit), « Grade entry » card: choose « The grade administrators enter the grades; the teachers read them », then name one or more teachers of the school in « Grade administrators » (optional at creation, to complete later). They enter and publish the grades of every evaluation of the class; the class's teachers still create and publish their evaluations but only read the grades, on the web as in the app. For the new classes of a cycle (for example primary and nursery) to be set this way by default, tick that cycle in GO4SBOOK → « Period opening », « Grade entry by grade administrators » card; « Also apply to existing classes » sets the classes already created too. Closed periods and locked trimesters apply to grade administrators too, and the administration can always enter grades from GO4SBOOK.
How do I lock a finished trimester, and who can unlock it?
In “Settings” → “General”, the “Lock the trimester” button freezes everything that belongs to the trimester: evaluations, grades and make-ups, absences, latenesses, roll calls, incidents and sanctions, exit authorizations, sessions and lesson logs, dispensations, rankings. Nobody can create, change or delete anything there anymore, on the web as in the app; report cards, council minutes and the annual report card can still be generated. A whole-year dispensation and a school-year tracking index bonus freeze as soon as ONE trimester of the year is locked. The button shows only from the trimester's last day. “Unlock” asks for a required reason. Locking and unlocking need the “Update” right on “Trimester locking” (GO4SBOOK module), and every gesture is traced with its author, its date and its reason.
Why can't I lock the trimester?
A trimester can be locked only from its last day, the day the council may sit. Before that, “Settings” → “General” does not show the “Lock the trimester” button but the line “Can be locked from <date>, the last day of the trimester.”, and a direct attempt is refused: “… is not over yet: it can be locked from its last day.” If the button still does not show after that date, check the trimester's end date and your “Update” right on “Trimester locking” (GO4SBOOK module).
Why does the “IT officer” no longer see anything?
Since 08/10/2026, “IT officer” is a role of its own, separate from the “ICT Manager”. The ICT Manager keeps full access (except GO4SFEES, GO4SXPENSE, GO4SPAYROLL, GO4SCOUNT and GO4STOCK); the IT officer starts with no right. The accounts whose job function is “IT manager” (and not “Head of the IT unit”) moved to this role. Grant its rights module by module in “Roles and Permissions”; for a complex of several schools, from the complex space.
How do I open or close a sequence for grade entry?
In GO4SBOOK, “Period opening” menu, first turn the “Period opening control” on: the periods of the current school year already started open, the later ones stay closed (with no current year, turning it on is refused: create the year first). You then close a whole period (“Close”) or, from its “Detail”, a single subject for every class (“Close the subject”). Closed, nobody creates, changes or grades the period's evaluations in that subject anymore, the administration included. To reopen a period, a subject or a single class, as to turn the control off, a reason is required, and the “History” keeps a trace of every gesture with its reason.
How do I produce the annual report card?
In GO4SDOC, “Report cards” › “New generation”, choose the class and “Annual report card” as the period type. When every student enrolled in the class has their report card for every trimester, the generation computes the year's average with the rule of the annual council minutes, the rank, the appreciation and the end-of-year decision; if a trimester is missing, even for a few students (“Trimester 3 (2 students with no report card)”), the box “Generate even if a trimester has no report cards yet” forces the generation: only the trimesters available count and the report card says so. The annual report cards are then found in “Report cards”, kind of period “Annual”, for the year chosen in the top bar. The annual report card has the same layout as the trimester report card: photo, verification QR code, same columns (one per trimester) and same footer. The PDFs are prepared in the background. Publishing works as for a trimester, on the class's page (“Details”), “Publier les bulletins” block: you choose the parents who receive them, the status and the date; only the report cards whose PDF is ready go out, and the parents are told by e-mail, notification and SMS. A regeneration erases the publication: publish them again.
Why is my annual report card not published?
An annual report card is published only once its PDF is ready: the parents told must find a document to download. If you save the publication while some PDFs are still being prepared, those report cards stay “Not published” for a moment: as soon as their PDF is ready they are published on their own and the parents who receive them are told, with nothing to do again. The class download is only offered once every PDF is ready. A regeneration deletes the class's annual report cards and their publication: publish them again.
Does the sector supervisor have a space on the web?
Yes. The “Sector supervisor” role has a web space of its own, like parents and teachers: on sign-in it lands there directly, and no longer enters the School space. This space offers what the mobile application does, limited to the classes of their sectors: the dashboard of the day (sessions, coverage rate, incidents, findings), the round with the teachers' sign-in and the entry of a finding (absent, late, class not started), the minutes of each session (logbook, roll call, validation or invalidation of the hours, comment, contest), the logbook and teacher absences, each with its filters, its “⋮” menu on every line and its Excel or PDF export with the columns chosen. Pupil absences and latenesses, disciplinary incidents and “Educational Activities Tracking” are the same screens as in GO4SBOOK: counters, filters, tabs, export, entry in steps (class, pupils, details, confirmation), justification and notification of the parents, chosen at the last step. “Educational Activities Tracking” replaces the daily report: sessions of the day, list, calendar and minutes. Sectors and their supervisors are set up in GO4SBOOK.
What is GO4SHARE?
GO4SHARE is the shared student file of the GO4SCHOOL network: it follows a child from one school to the next, with their path, report cards and exams, documents, health and school life. It is a mandatory module, never sold: it is included for every school, is not subscribed to and cannot be turned off. It opens on its “Dashboard” (shared files, access requests waiting, latest files received and sent, student documents of the month), then its menu has three entries: “Student file” (find a child, read their file, ask their family for access), “Student documents” and “Student file sharing”. In your complex everything is open with nothing to set; a complex outside yours sees only the identity and a summary path, unless the family agrees for 30 days or the child's school shares sections at once. Each right is given per role: “Student file”, “Student documents” and “Student file sharing” in the GO4SHARE module.
How do I see the file of a child coming from another school?
In GO4SHARE, “Student file” menu, tick “Also search the whole GO4SCHOOL network” and type their exact matricule, or their name with their date of birth: a name alone is not enough outside your complex. The file first shows their identity and a summary path (years, levels, complex). To read their report cards, documents, guardians and school life, click “Ask the family for access”, with a reason and, if needed, health. Searching the network and asking need the create right on “Student file” in GO4SHARE.
Why is part of the student file locked?
The years spent in another complex stay closed until the family agrees, except the sections the former school shares at once: you see the year, the level and the complex's name, with a padlock, and the sections show “Visible once the family agrees.” In your complex, nothing is locked. Health opens only if the former school shares it at once or with the parents' explicit consent, and only to roles with access to GO4SHEALTH. The “Balance due” only ever says yes or no, never an amount.
Who accepts a file access request, and for how long?
The child's parents who have a GO4SCHOOL account decide, from their web space or their app; the first answer counts for all. If the child has no parent with an account, the founders and school administrators of their former complex answer, in the “Access requests to answer” frame of GO4SHARE's “Student file” page; they never open health, and their consent opens only the years spent in THEIR complex, never those of a third complex. An agreement opens the file to your whole complex for 30 days, then the request turns “Expired” and you can send a new one. You are told of the answer by e-mail and notification.
Can I open our students' report cards to the schools of other complexes without the parents having to accept?
Yes, section by section and school by school, with the “Student file sharing” setting of the GO4SHARE menu (update right on “Student file sharing”). With a complex-level role, the table has one column per school of the complex; with a school role, only yours. This setting only targets the complexes outside yours: between the schools of your complex, the file is always fully open, with nothing to set. Tick “Report cards and exams”, and if needed “Detailed path”, “Guardians”, “Documents”, “School life”, “Balance due” or “Health”, then “Save the sharing”: “Student file sharing saved.” Each section ticked for a school opens at once to any complex outside yours that finds a child who attended it; the others wait for the family's consent. By default nothing is shared. Health, when ticked, opens only to roles with access to the medical record in GO4SHEALTH.
Why does part of the file open with no request?
Because the school the child comes from shares those sections at once with every complex outside its own, in GO4SHARE. The orange frame of the file names them: “Already shared at once by the former school: …”. They open with no request, for the years spent in that school; the others stay closed until the family agrees. Each school has its own setting: two schools of the same complex may share different sections. If every school the child comes from shares all seven sections, health included, the file has no orange frame any more and there is nothing left to ask. If health is not shared, the orange frame stays, and its box “Also ask for the health information (only the parents can open it)” asks the parents for it.
Can the child's school know who opened their file?
Yes. Each opening of the file, each download and each access request is recorded with the person, their school and the date. The “Consultations” tab of the file, kept for the complexes where the child is or was enrolled, shows the last 50, including those of another complex reading with the family's agreement.
Where do I add a student's birth certificate or ID photo?
In GO4SHARE, “Student documents” menu: find the student, then “Add a document”. Choose the type (birth certificate, ID photo, report card or certificate from a former school, diploma…), a title and an issue date if needed, and drop a PDF, PNG or JPEG of 10 MB at most (20 MB for a merged file). The document, encrypted on our servers, shows in the “Documents” tab of the student file. Adding needs the create right on “Student documents”, deleting its delete right.
How do I upload the scanned file of every student at once?
In GO4SHARE, “Student documents” → “Bulk upload”. Name each file with the student's matricule (for example “MBALLA Paul CE-2026-0165.pdf”): it is what points to the student. Choose the files or a whole folder (up to 1,000 per upload, PDF, PNG or JPEG of 20 MB at most), then “Start the search”: the report says which students are found, which already have a merged file (left alone, unless you tick the replacement), which files are not found, duplicated or too large. “Send and attach” then sends the files kept, with a progress bar; each becomes the student's “Merged file” document. For a large school, upload in several waves of 1,000. The same way works for student photos (GO4SBOOK, “Bulk photos”, 10 MB per photo) and for staff files (GO4SRH, “Bulk files”, 50 MB per file).
The bulk upload says “Not found”: what do I do?
The file name holds no matricule of a person of the schools searched: a mistyped matricule, none at all (“No matricule in the name”), or those of several people. Check the school chosen at the top of the screen too: the search covers only it, or the whole complex with “All schools”. For staff, use the matricule the “Staff” list shows: the Excel or PDF export gives it with the “Matricule” field; the record's former matricule is recognised too. Download the report, rename the files with the right matricule, then make a “New upload” with them only. Someone with a record in several schools under the same account counts as one person: their file is attached to each of their records. Files too large are compressed or scanned at a lower resolution before being uploaded again.
How do I enter student grades?
First create the evaluation in “Evaluations”: a 5-step wizard takes you from the class to saving, then you publish it to announce it to families. Then enter grades in “Grades”, student by student: a mark on the scale in secondary, one mark per competency in primary, an assessment per activity in nursery. Once the whole class is graded, click “Publish”: each family receives their child's grade, which goes into the month's mark and then the report card. A published evaluation with no grades yet can be cancelled, and a grade can still be corrected after publication.
How do I view my timetable?
Open the “Timetables” menu: the calendar shows your sessions in Month, Week or Day view, with the day's details and your weekly hours by subject on the right; “Export” downloads the month's sessions to Excel. The “My service” button shows your hours due, scheduled and done for the year, and “My requests and replacements” tracks your requests and the replacements offered to you. The “Sync with my calendar” card gives a personal link to see your courses in Google Calendar, Outlook or your phone's calendar. Each morning a notification sums up your day's classes, and you are notified of any cancellation, postponement or replacement.
How do I give my timetable wishes?
If you teach in secondary school, open “My timetable wishes” in the menu, or the “My wishes” button of the timetable; in the app, the “My timetable wishes” tile. Tick your days and, for each, the moment: morning, afternoon, whole day or chosen ranges “from … to …”. For each course, choose how it is cut into sessions (the volume is set by the school) and the wished room. “Save draft” keeps your sheet, “Send my wishes” passes it to the school; an impossible sheet must first be fixed. You can change it until the collection is closed. The sheet takes over last year's when there is one.
How do I take attendance and manage absences?
In secondary, attendance is taken in each started session (“Take attendance”): everyone is present by default and you mark absent and late students, with a required reason for lateness. Families are notified when you sign the session. In nursery and primary, the class teacher takes one roll call a day for the whole class in “Daily attendance”. “Save” sends nothing: reopen the day and click “Save and notify” to inform parents. The school then justifies absences in GO4SBOOK.
How do I communicate with parents?
If the school subscribes to GO4SCOM, the “Communications” menu lets you write to the parents of your classes (a whole class or selected students), with attachments. Depending on the rights the school gave you, you send directly or submit for its review. Your notices go out by email and app notification, never by SMS. For a private exchange, the “Conversations” icon in the top bar opens one-to-one conversations with a parent about a specific student, or with the administration.
How do I request leave or report an absence?
For a given session, open it in “Timetables” and click “Report / request”: you report an absence or lateness, or ask for a postponement or cancellation, with a reason, then send it to the school. Management decides and you are notified of its answer. You track your requests, and withdraw them while pending, in “My requests and replacements”. Leave of several days cannot be requested from the teacher space: contact the school's HR department, which records it for you in GO4SRH.
How do I start and manage my course sessions?
Open the session from “Timetables” or from the dashboard's card of today's classes, then click “Start session”, on the day itself or later. Take attendance, fill in the textbook (the detailed plan is required), optionally update the progression, then “Sign and Complete” by drawing your signature. The signed session counts in your hours done, then the school validates or invalidates it. If the school checks classes in by QR code, you start and end the session by scanning the room's code in the mobile app. In nursery and primary there is no session to start: attendance goes through the daily roll call.
How is my performance evaluated?
If the school uses GO4SRH appraisals, each staff member is appraised per period on a grid of criteria set by the school. An evaluator grades you, then management validates the appraisal at two levels. At final validation you receive an email and have seven days to contest it. Once the contest is settled, the appraisal is finalized and may lead to an improvement plan or a recognition.
What is the Student Tracking Index (ISE)?
The ISE is a periodic indicator that summarizes each student's follow-up (results, attendance, behavior). As a teacher, you view the calculated periods, can trigger a recalculation and grant per-student bonuses. Parents and students view the index in read-only mode.
How do I run a periodic ranking for my class?
In “Periodic Rankings” (GO4SBOOK module), you create a session for a class and a period, or continue the one a colleague or the school already opened. The automatic calculation marks each student “Ranked” or “Not ranked” based on their participation in the period's evaluations, then you adjust manually if needed and finalize. The session covers the whole class across all subjects and shows no average or rank: ranks appear on report cards. Rankings are also available in the mobile app.
How do I publish stories (flash news)?
News flashes (GO4SCOM module) are short slide sequences (text, image, video or audio) visible for 24, 48 or 72 hours. You watch the school's flashes and, if the school gave you the right, create your own in three steps for the parents of your classes, on web or mobile. With the publish right it goes out directly; otherwise you submit it for review. Parents get a phone notification (no email or SMS), and you then follow views and reactions.
How do I use the mobile app as a teacher?
The GO4SCHOOL app (iOS and Android) opens on a dashboard with today's classes or the daily roll call, then tiles: evaluations and grades, pedagogical follow-up, rankings, Student Tracking Index (ISE), my classes, timetable, my requests, my service, my statistics, my statistics report, class visits and communications. The administrative block gives your payslips, earnings, documents and the school profile. The top bar opens news flashes, messaging and notifications, and the Juju button starts the AI assistant. If the school checks classes in by QR code, you start and end your sessions by scanning the room's code.
How do I fill in my term statistics report?
At the end of each term the school opens a collection, and your report appears in “My statistics report”, already pre-filled (enrolment, hours, lessons, results). Click “Fill in”, complete the blank cells and correct a greyed value if needed, giving the reason for corrections, then save and submit. In secondary you have one report per subject; in nursery and primary the report belongs to the class and its class teacher submits it. It is then validated, usually by the pedagogical animator, or sent back to you with a reason. It can also be filled in in the mobile app.
How do I export my statistics on the official sheet?
On the web, in “My statistics”, set the period, the calculation and the grouping (by subject then by class by default), click “Export”, choose the columns by category, then “Excel” or “PDF”. In the app, the “Excel” and “PDF” buttons below the figures do the same, with all the school's columns. The file follows the layout of the official sheet: intermediate classes, exam classes and overall, A4 landscape. Practicals and digital lessons are counted according to the nature of each line of your progression.
How do I receive and read a class visit?
When the pedagogical animator observes one of your lessons, they score a grid criterion by criterion and write feedback (strengths, areas to improve, recommendations). You see nothing until they share it; you are then notified and the visit appears in the “Class visits” menu. You may write an answer, then confirm you have read the visit: this is final and means you have read the feedback, not that you agree with it.
How do I keep my progression or monthly breakdown up to date?
In “Pedagogical Follow-up”, pick the course then “Open the progression” (“Open the monthly plan” in primary and nursery): the document follows the ministry format, with lessons in secondary, lessons in primary and activities in nursery. It is the same document as the administration's. If it does not exist, the “Start the document” card offers “Import a file” (the Excel template, or the ministry's PDF or Word read by GO4SIA), “Start from the official model”, “Carry over last year”, or filling the header; the mobile app offers the first three. In primary and nursery, only the class teacher creates the monthly plan; the other teachers then add their courses' lines to it. “Import from Excel” also fills an existing document in one go. You then move each line to “In progress” then “Finished”: in the follow-up, in the document (the line's “⋮” menu), during the session, on the phone or, in nursery and primary, from the daily attendance. The application works out the syllabus coverage; if a course falls too far behind, you are told on Monday, and the “Programme pace” card of “My statistics” offers a catch-up plan.
How are my teaching hours counted?
A session counts in your hours done as soon as you have signed it; a session never started or never signed does not count. The school then checks each session in GO4SBOOK's hours control: it validates it, corrects its duration or invalidates it, after which the session can no longer be changed. The timetable's “My service” button compares your weekly due service, your scheduled hours and the hours done in the year, replacements included. If the school checks classes in by QR code, “My Earnings” estimates your pay from validated sessions only.
Why can I no longer create, change or grade an evaluation?
The administration has frozen the grades: either it locked the trimester, or, when the school controls the opening of its periods, it closed the sequence or composition for your subject. The evaluation then shows a red banner (a padlock in the app) giving the reason, and the save buttons are greyed out. You can still view your evaluations and publish the grades of an evaluation already graded. To correct a grade, ask the administration to reopen the period or the subject, or to unlock the trimester: it does so with a reason, which is traced.
Why can I see my class's grades without being able to enter them?
The school handed this class's grade entry to grade administrators. You still create, publish and cancel your evaluations, and plan and validate make-up sessions; they enter the grades (make-up grades included) and publish them to families. On the web, the evaluation's card shows « Read only »; in the app, the button becomes « View grades » and the screen opens read-only with the reason. To change this setting, ask the administration: it is set on the class's form.
I am a grade administrator: where do I find the grades to enter?
On the home page of your teacher space (web and app), the « Grades to enter » card lists the published evaluations of your classes whose grades are not yet published, with the number of students graded and the state: « To enter », « In progress », « Complete, to publish » or « Entry closed » (period closed or trimester locked, with the reason). « Enter » opens the usual entry screen; they also show in the « Grades » menu. Once every grade is entered, you publish them. You can neither change nor cancel the evaluation itself, nor plan or validate a make-up session: that is the course teacher's job.
How do I organize a make-up, and how is the final grade computed?
On an evaluation whose grades are entered or published (before that, the make-up is refused), open its details (or, in the app, the “⋮” menu → “Make-ups”) then “Organize a make-up”: the date, the time, the weight of the original grade (50 % by default) and the students called, those under the average and the absent ones being ticked by default. Their parents are told by e-mail and notification. Then enter the make-up grades: the final grade is original grade × its weight + make-up grade × its weight. A student absent at the make-up keeps the original grade; with no original grade, the make-up grade counts alone. A letter grade (A to F, TB, B, AB…) is accepted and kept as is as the final grade; in primary, a competence left blank at the make-up keeps its original score. On validation, the final grade replaces the grade in the evaluation; only the administration can then reopen the make-up.
Why is a student greyed out when I organize a new make-up?
This student already has a validated make-up for this evaluation: the list shows them greyed out, with « Make-up already validated », and they cannot be called a second time. An evaluation allows one validated make-up per student. If the first make-up holds a mistake, ask the administration to reopen it with a reason: the original grades come back into the evaluation, and you can correct and validate again.
My make-up grade is refused: « Above the scale ». What should I do?
A numeric make-up grade stays between 0 and the evaluation's scale (20, for example), with two decimals at most. As soon as it is typed, the field shows « Above the scale (out of 20) », the final grade stays « — » and saving is blocked. Correct the grade; in primary, each competence is checked against its own scale, and its grade must be a number. In the app, leaving the screen without saving asks for confirmation, so the grades already entered are not lost.
How do I use the mobile app as a parent?
The GO4SCHOOL mobile app (Android and iOS) brings all your children together, even in different schools: swipe the cards at the top of the home screen and tap the child you want to follow. Their tiles give access to the timetable, grades, absences, latenesses, report cards, courses, exams, incidents and tracking index; health, canteen, transport, communications and school exchanges appear only if the school has enabled the matching module. The “Payment” tile lets you pay online by Mobile Money or offline by sending the proof, and the payment history keeps all your receipts, including those from the school's cash desk. Depending on the school's modules, the top bar also opens flash news and messaging, and the Juju AI assistant appears when the school has enabled it for parents.
How do I view my child's grades?
In the menu, open “Evaluations” after choosing the child and the year at the top of the screen. The grades and evaluations page lists the class's evaluations subject by subject, with their date, scale and your child's grade as soon as it is recorded. Each evaluation has a detailed sheet with the teacher's comment and anonymous class statistics. The period average, comment and rank are on the report card, under “Report Cards”.
When does my child's annual report card appear?
At the end of the year, once the school has generated it from the trimesters' report cards and then published it. You are told by e-mail and notification, and you find it in “Report Cards”, “Annual” tab, on the web as in the app: the annual average, the rank, the end-of-year decision when it is taken, and the PDF to download. In the app, the tab shows the school year you are viewing. Only the parents linked to the child see it. As long as nothing is published, the tab shows “No annual report card published yet.”
My child is called to a make-up: what does it change to their grade?
You receive an e-mail and a notification with the subject, the date and the time of the make-up; only the students called and their parents are told. Once the school has validated the make-up, the evaluation's grade becomes the final grade: a blend of the original grade and the make-up grade, with weights chosen by the school (half and half by default). If your child does not come to the make-up, they keep the original grade; if they were absent at the evaluation, the make-up grade counts alone.
A school asks to read my child's file: what should I do?
Open “Access to the school file” in the web menu, or the “File access” tile of the app. Each request says which school makes it, for which child and why. “Accept” opens for 30 days the path, report cards, documents, guardians, school life and only the “balance due: yes / no” indication; health opens only if the school asked for it and you tick “Include the health information”. “Refuse” keeps the file closed: the school sees only the identity and a summary path. If two parents have an account, the first answer counts for both.
How do I pay school fees?
The “School Fees” menu lists the selected child's outstanding fees. Add them to your “Invoice” — a single one for all your children, even in different schools — then pay school by school: online payment by MTN Mobile Money or Orange Money, or offline payment (MTN Mobile Money, Orange Money, Express Union Mobile Money, Wave or bank transfer) by sending the proof within 48 hours. If the school allows it, “Make an advance” lets you pay only part of a fee. You can also pay at the school's cash desk. Every receipt, including those from the cash desk, can be downloaded from the “Payment History” tab and is also sent to you by e-mail.
How do I track my child's absences?
The “Absences” menu lists the absences recorded by the school for the selected year, with their status: pending, justified or unjustified. The “Latenesses” menu does the same for latenesses, and the dashboard shows their counters. To notify or justify, use “Report an absence” or “Report a lateness” in school exchanges (if the school has GO4SBOOK); the school accepts or refuses your report. You are notified of each absence and of the school's decision.
How do I communicate with the school?
The “Communications” menu (if the school has GO4SCOM) gathers your schools' announcements, invitations and summons. For an invitation or a summons, “Respond” lets you say whether you will be present, late or absent. In school exchanges, the “Message” tile sends a written request to the administration, and the chat tile opens “Conversations” to talk with a teacher about a child.
How do I download report cards and certificates?
Report cards are in the “Report Cards” menu, by term or by period: the report card button downloads the PDF, and the honour roll certificate can be downloaded there too if your child is on it. Official exam transcripts are in “Official Exams”, via the transcript button. The school's documents (rules, forms…) are under “School”, administrative documents button. A report card appears only once the school has published it and opened it to parents.
How do I manage several children on my account?
A single account is enough, even if your children attend different schools. The child selector at the top of the screen updates every page, and the menu adapts to the modules of the selected child's school; the year selector lets you go back to a past year. The payment invoice, flash news and communications cover all your schools. Messaging, however, covers the school of the selected role: switch roles to see another school's.
How do I view exit authorizations and disciplinary incidents?
The “Exit Authorizations” and “Incidents” menus show, for the selected child and year, the exits issued by the school (with their status and the downloadable PDF letter) and disciplinary incidents (reasons, severity, sanctions, status). Only the school records them: for an exit, contact the school. You are notified when an exit authorization is issued, and for an incident when the school validates the record (resolved status).
How do I follow my child's school transport?
If your school uses GO4SFLEET, the school transport page shows your child's transport subscription status (zone, frequency, paid, remaining), today's trips of their circuit as soon as they are planned (“Bus not there yet — stop … around HH:MM”), then the boarding and drop-off time and stop, or “Absent at the stop”, and their circuit with its times and stops. During the trip, you see the bus on a map with the estimated arrival time at your stop. You receive an e-mail and a notification at each boarding and drop-off; you are also told when your child was not at the stop or when the trip is cancelled.
How do I tell that my child will not take the bus?
On the school transport page, the “My child will not take the bus” card: choose the day, the trip (“Both ways”, “To school (morning)” or “Home”) and, if you wish, a reason, then “Tell the driver”. You can also do it from the app. The crew sees “Notified absent” in the list of students to board and does not wait for your child at the stop; if it is for today, they also get a notification. For that trip, the live bus and the “The bus is coming” alert stop for your child. One absence per day and trip; “Cancel the absence” removes it if your child takes the bus after all.
How do I follow my child's canteen?
If your school uses GO4SCATERING, you can view the published menus, your child's meal history, their declared allergies and dietary requirements, and the payment status of their canteen subscription.
How do I follow my child's health at school?
If your school uses GO4SHEALTH, you create and keep your child's medical record up to date (vitals, allergies, conditions, history, emergency contacts), give consent to first aid and upload certificates and prescriptions; the infirmary validates what you enter. You follow their infirmary visits and the medications given, emergencies, vaccination record, screening results and treatments, which you authorize by attaching the signed document. An open emergency shows first in the app's health area. In an emergency you are notified by e-mail, notification and SMS, and you can download the report once the infirmary has generated it.
How do I request a payment deferral (moratorium)?
To get more time, contact the school's bursary with the fee concerned, the reason and, for an extension, the date you would like: the school chooses between an extension and an installment plan, then approves or rejects the request. You are informed of its decision by e-mail and notification, and the “My Moratorium Requests” page tracks your requests (pending, approved, rejected, cancelled) for all your children. An approved extension changes the fee's due date; an installment plan replaces it with one due date per installment in “School Fees”. An approved moratorium on transport or canteen protects the child from the payment check until the granted date, but it does not unlock access tied to the GO4SCHOOL service fee.
How do I view the schools' stories (flash news)?
The stories feed gathers publications from all your children's schools: photos, videos and school life announcements. You can react and reply to them. The feed is available on the web and the mobile app.
Where do I find the news of my children's schools?
The newspaper icon of the top bar, on the web and in the app, opens the “News feed”: one feed for all your children and all their schools, newest first. You find there the school-wide posts and those about your children — the card says so (“Concerns Junior and Grace”) — never those of a class where you have no child. You can react (Like, Bravo, Congratulations, Thanks, Interesting) and, when the school asks for it, confirm with “I have read this”. Urgent posts and announcements to confirm stay at the top of the feed.
What happens when I pay at the school's cash desk?
In cash, by mobile money, by bank slip, by transfer or by mobile deposit, the payment counts at once for you: the receipt says “Paid”, the fee goes down at once and each of the child’s parents receives an e-mail with the PDF receipt and a notification. In “School Fees”, “Payment history” tab, it shows as “Paid”, with the desk, and the receipt can be downloaded. Only a cheque may, if the school decides so, give an acknowledgement of deposit instead of a receipt: the fee is then only paid after the school has checked; do not pay it a second time.
Which mobile operators can I pay with?
Online, from your invoice: MTN Mobile Money and Orange Money, depending on what the school has opened. By proof (manual payment): MTN Mobile Money, Orange Money, Express Union Mobile Money, Wave or bank transfer, to the accounts the school offers. For Orange and MTN, a USSD code is shown; for Express Union and Wave there is no code: you see the number and the holder, follow the three steps in the operator's app, then send the operator's receipt. A payment by proof only counts once the school has validated it.
Which number appears on my receipt?
The “Payment receipt” carries its own number (“No. …”), the “Payment method” and the “Transaction ID”. The number you gave is named after the way you paid: “Cheque number”, “Slip number” for a bank deposit, “Deposit reference” for a deposit at Orange, MTN, Express Union or Wave, “Transfer reference”, “Transaction number” for a mobile payment, otherwise “Reference number”. Then come “Collected by” and the “Cash desk” or the “Channel”; the payer is named once, on the “Received from …” line at the top of the receipt. An acknowledgement of deposit shows the same information.
What do the statuses in my payment history mean?
“Paid”: confirmed by the operator, approved by the school or collected at the cash desk. “Proof awaited”: you started an offline payment without sending the proof; “Being validated”: your proof or deposit is being checked. “Rejected”: the school refused the proof or deposit; “Cancelled”: an offline payment abandoned or with no proof within 48 hours, or a collection taken back by the school's cash desk. In both cases the reason is shown and the amount no longer counts as paid: the fee becomes payable again. “Failed”: an online payment declined on the phone; nothing was debited.
Why is my child's space locked?
When the school has made the GO4SCHOOL service fee mandatory and it is unpaid, the child's pages take you back to the fees with a message explaining why, and the dashboard offers to pay. The payment and moratorium pages stay open, and years already paid remain viewable. Access opens as soon as an online payment is confirmed, when a proof is approved, or immediately in cash at the cash desk. A moratorium does not unlock access, and a rejected or cancelled payment locks it again.
A fee was paid twice (online and at the cash desk): what happens?
A fee settled elsewhere after you added it to the invoice (at the cash desk, by the other parent) leaves the invoice automatically, with a message telling you so. If a fee was paid at the cash desk while you were paying online, the overpayment appears in the “Payment History”: the school carries it over to another fee or refunds it, and the line then shows which, with the reference.
How do I view my timetable as a student?
Open the “Timetable” menu: your lessons are shown in Week, Day or Month view, with the time and name of each lesson; cancelled lessons stay greyed out with “(cancelled)”. In the mobile app, the timetable tile shows each day's lessons with the teacher. On the web, the “Sync with my calendar” card gives you a personal link to see your lessons, with room and teacher, in Google Calendar, Outlook or your phone's calendar.
How do I see my grades and averages?
The “My evaluations” menu lists, by subject, the evaluations announced for your class and your mark as soon as the teacher has entered it; an evaluation's detail page adds the teacher's comment and anonymous class statistics. Your average and rank for the period are on your report cards, available in the report cards tile of the mobile app. The tracking index menu sums up your grades, attendance, discipline and punctuality out of 100, period by period.
How do I view my absences?
The “My absences” menu lists the absences the school has recorded for you, with the reason, the school's comment and a status: pending, justified or unjustified; your latenesses are under “My latenesses”. You cannot justify an absence yourself: your parents report it from their space, or you hand the document to the school office, and the school decides.
How do I access my courses and subjects?
The “My courses” menu shows one card per course of your class. A course's page gives the teacher, the coefficient or the assessed skills and the programme's progress, then each lesson (activity in nursery) with its status and objectives. The course materials and exercises your teachers uploaded are downloaded under the syllabus line they are attached to.
How do I view my communications?
The communications menu, shown if your school has enabled GO4SCOM, gathers in three tabs (announcements, invitations, summons) the messages the school addressed to you by name; messages sent to all parents or to a class go to your parents only. You get no notification for a communication, so check the page regularly. You cannot reply; your parents answer from their space.
What is the student's QR code used for?
Each student has a personal QR code printed on their school card. It is scanned at the school's payment desk to open your record, at the canteen to check in your meal, and on the bus to record your boarding. Scanned with a phone, it opens a student profile page: your details are shown only to you, your parents and your school's staff; anyone else sees only the school's contact details.
What can a driver do on the mobile app?
The driver has a space in the mobile app: a dashboard for the day with the planned trips, circuits and trips, starting, ending and cancelling a trip, boarding and dropping children by QR code or by hand, a child absent at the stop, messages to parents, the “Emergency” button and the trip crew. They also follow their vehicles and their technical inspection, record fuel, maintenance and incidents with their photos and receipts, and update their driving licence. Without network, their trip actions are kept and sent when the network is back. On the web, “My driver space” shows them the store badges with a QR code, their past trips read-only and their profile.
How does QR code boarding work?
The crew scans the QR code on the school card to identify the child, at boarding as at drop-off (they can also do it by hand). The server checks that the child is assigned to this circuit, is not already on board, and is up to date for the school year of the day, or covered by a waiver; otherwise boarding is refused. Parents receive an e-mail and a notification at boarding on an outbound trip, and when the bus departs on a return trip.
How do I manage my driving license as a driver?
In the app, “My driving licence” shows your number, category, documents and a status taken from the expiry date: valid, expiring soon (30 days or less), expired or not set. “Update” lets you change the number, category, date and document; the people who manage the complex's drivers are then notified. They also receive a reminder 30, 15, 7 and 1 day(s) before the expiry date. An expired licence does not stop you starting a trip.
What does the GO4SFLEET module offer to the transport manager?
The transport manager keeps the fleet (vehicles, insurance, documents, technical inspections and compliance waivers), drivers and their licences, transport providers, circuits (stops placed on a map, times, running days, crews, vehicles) and student assignments, per school year and several at once. They follow the buses live, read the trip log with its maps, approve fuel, maintenance and incident entries, and read the transport costs and revenue. A dashboard gathers indicators, compliance and alerts, and reminders go out before insurance, licence and maintenance due dates.
How do transport subscriptions and solvency work?
Transport solvency is read from GO4SFEES: each student is up to date, overdue, not subscribed (no payment on transport fees) or under waiver. On board, the school year of the day counts, and an older transport fee left overdue blocks too. A student who is not up to date can neither be assigned to a circuit nor board the bus. From the subscriptions menu, the administration can grant a boarding waiver, with a start and an end date; the page says when it is no longer needed. An approved moratorium also covers the student, except an instalment plan with a late instalment. A waiver erases no debt.
How do I track fuel, maintenance and incidents?
Fuel, maintenance (oil change, tyres, brakes, battery, repair, other) and incidents (accident, breakdown, violation, other) are entered at the office on the web, or by the driver in their app, with their receipts, documents and photos. Each entry starts as pending and a manager approves or rejects it, on the web or in the app. Approval creates an expense in GO4SXPENSE — fuel on its own account, 60530 — with the attachments, and counts it in the monthly amounts. Once approved, the entry can no longer be edited or deleted. Each list can be filtered and exported to Excel or PDF.
What is the “Bus Escort” role?
The bus escort rides the bus. In the app, they work in the same space as the driver: they board and drop the children, scan their card, mark a child absent at the stop, write to parents and can raise the emergency. Starting, ending or cancelling the trip, fuel, maintenance, incidents, technical inspection and licence stay with the driver. They are added to a circuit's escorts. The only manager role is “Transport Manager”, with every right of the module.
Can I see where the bus is in real time?
Yes. During the trip, the crew's phone sends the bus position (every 10 to 60 seconds, as set by the complex). The transport manager sees all the buses on the “Live tracking” page and in their app. The parent sees their child's bus on a map, with the estimated arrival time at their stop, during the whole trip or only when it approaches, as the school and the parent chose; they can be told a few minutes before it comes. As long as the bus is not shown to them (not yet approaching, child dropped off or absent), its position is not sent to their phone. The stops must be placed on the circuit map for the estimated time to show.
What happens when the crew has no network?
The app keeps the boardings, drop-offs, absences, starts and ends of trips, with their time, and sends them when the network is back, in order. The same action is recorded once only. The bus positions are kept too. Parents are told when the action reaches the server; a refused action (for example a student not solvent) is dropped and its reason shows to the crew.
How do I cancel a trip, and who is told?
In the app, the driver taps “Cancel the trip” and gives the reason. The trip becomes “Cancelled”, with the time and the reason on its page. The parents of the children aboard receive a message: the school will contact them. To end a trip with children still aboard, the app names them and asks to confirm they all got off.
Why can't I start the return trip?
Most often, the outbound trip is still running with the same bus. A bus, like a driver, runs one trip at a time: as long as it has a trip “Boarding” or “In progress” that day, the app refuses the next one with “This vehicle is already on a trip under way: end it before starting another.”, or “You already have a trip under way: …” if it is the driver. End the outbound trip first, then start the return. The return also needs an outbound trip of the same circuit started or completed that day and, if the complex requires it, a pre-departure check of the vehicle.
What is the app's “Emergency” button for?
During a trip, the driver or the bus escort taps “Emergency”, with a message if they can. Those who manage the fleet of the complex (the transport manager) and the establishment's direction at once receive a notification and an email, with the circuit, the vehicle, the message and the bus position on a map. Neither the other drivers and escorts nor the parents receive this alert.
Are trips prepared in advance?
Yes. Every evening, GO4SFLEET prepares the next day's trips (one outbound, one return) of the active circuits running that day, from their “Running days”, holidays and days outside the school year excepted. Parents see these trips before the bus comes, with the stop and the planned time. The driver starts the planned trip from their dashboard.
Does the transport manager have a space in the app?
Yes. With the “Transport Manager” profile, the app opens a space with four tabs: “Live” (the day's figures and the map of the buses), “Trips” (by day and status, with the map and the students of each trip), “To approve” (fuel entries, maintenance and incidents with their attachments, to approve or reject) and “More”. They receive the emergency alerts and the due date reminders there. Everything else is managed on the web.
How do I know what the transport costs and brings in?
In GO4SFLEET, the “Costs and revenue” page adds up, over the chosen school year, the approved fuel, maintenance and incidents, and the transport fees paid by the families. It gives the total cost, the revenue, the balance and the cost per student, a table per circuit (a vehicle's expenses shared by the trips it actually made: a planned trip that never left or a cancelled one takes no share) and a table per vehicle with the kilometres and the consumption per 100 km, taken from the odometer read at the start and end of trips.
A parent paid the transport, how do I place the student on a circuit?
There is no transport registration request: the payment is the registration. In GO4SFLEET, “Subscriptions” menu, the “Paid, not placed yet” tab lists the students who paid at least part of a transport fee in GO4SFEES, for the school year of the top bar, but are on no circuit. The tab shows the number of students waiting. In the student's row, choose the circuit, then “Assign”: the assignment form opens with the student already chosen. Enter the boarding stop, the drop-off stop and the direction, then save. The student then moves to the “On a circuit” tab. A student behind on payments is still refused, unless a waiver or a moratorium covers them.
How does the pre-departure check work?
Before leaving, the driver checks the vehicle in the app: tyres, brakes, lights and indicators, mirrors, seat belts, first-aid kit, extinguisher, doors and emergency exits, cleanliness. Each point is “OK” or “Problem”, with a note if needed. A problem at once warns, by notification and e-mail, the people who may update vehicles. The complex can require this check in “Fleet settings” (“Require the check before a trip starts”): without a check of the day, the trip does not start. A check that reports a problem does not block the departure: the manager decides. The history is on the vehicle page, the check of the day on the trip page, and the dashboard shows the “Checks before departure with a problem today”.
What can the cook and the canteen manager do?
In the mobile app, the canteen manager builds and publishes menus, maintains dishes and recipes, declares allergies and diets, follows subscriptions and plans, handles stock requests and validates consumptions. The cook views menus, recipes, alerts and food needs, checks meals in and generates a consumption from a menu. On the web, what each one can do depends on the GO4SCATERING permissions given to their role.
How does QR code meal check-in work?
During service, staff scan the QR code on each student's card one after another, on the web or in the mobile app; each scan records the meal as served. You can also check in by class list or student by student. A student is checked in only once per meal and day; a mistake is fixed by deleting the check-in. The dashboard compares the day's meals served with the number of active subscribers.
How do I manage menus, dishes and meal plans?
You create your dishes (starter, main course, side dish, dessert, drink, snack) with their recipe sheet, whose ingredients can be linked to a GO4STOCK item. A menu combines a date, a meal and dishes; it starts as a draft, and publishing it shows it to parents and notifies those whose child is subscribed. Canteen plans are created and priced in GO4SFEES; in GO4SCATERING you only set which meals and days they cover.
How are allergies and dietary requirements handled?
Allergies and diets are entered by the canteen, student by student, noting who reported them (parent, canteen, medical staff); parents can view them in the canteen space but not declare them there. An active allergy is copied into the GO4SHEALTH medical record and the parents are notified; diets are neither copied nor notified. Active declarations appear in the kitchen alerts card on the dashboard and menus, and in the canteen app.
How is the canteen linked to stock management?
The food needs page multiplies the recipes of the period's menus by the planned headcount, or the number of subscribers, and compares them with GO4STOCK stock. If GO4STOCK is active, the canteen sends stock requests (pending, approved or rejected, then delivered), and delivery takes the items out of the store. After service, the validated consumption also deducts the stock-linked items: agree with the store on which path to use so the same food is not deducted twice.
How do canteen subscriptions and solvency work?
A canteen subscription is created by hand or by syncing a canteen fee paid in GO4SFEES; it bills nothing, and the money stays in GO4SFEES. The subscription page and list show the payment status and the canteen solvency. This status is informational: it blocks neither check-in nor the meal, and the check-in screen does not show it. A manager's waiver or an approved moratorium shows a waiver status without wiping the debt.
What can the school nurse do on GO4SCHOOL?
The nurse manages medical records, records infirmary visits and emergencies, runs the pharmacy (items, batches, expiry dates) and its medication requests, tracks vaccinations and screening campaigns, administers recurring treatments and manages medical documents. This works on the web and in the mobile app, where the student is found by name or student ID. The nurse and the head nurse share the same space, attached to the complex, with the same rights by default.
How are medical records and their confidentiality handled?
Each student has a single medical record (blood type, height, weight, allergies, conditions, history, family doctor, emergency contacts, consent to care). The infirmary can create it, or the parent fills it in from their space; every parent change waits for the infirmary's validation. Only roles with the medical records permission can access it (by default the infirmary, the founder and the school administrator). Every opening of a health page, by staff or by a parent, is written to the access log, which the nurse, the head nurse and the full-access roles can read. Validating a record or a document is traced: “Validated by … on …”.
How are infirmary visits and emergencies tracked?
Each visit is recorded with the reason, symptoms, care given and decision (back to class, sent home, hospital). Emergencies are classified by severity, parents are notified and a PDF report can be generated. Parents see their child's visits, with the medications given, and their emergencies, on the web as in the app. The module's “Statistics” page shows, over a period, the visits by month, the frequent reasons and symptoms, the pupils seen three times or more, the decisions and the emergencies.
How does the infirmary pharmacy work?
The pharmacy manages the inventory of medicines and consumables with batches and expiration dates, expiry and stock-out alerts. Restocking requests are sent to the GO4STOCK module with an approval and delivery workflow. A loss, an expired lot destroyed or an inventory correction is recorded on the item's page, and the “Stock movements” card lists every entry and exit.
How are vaccinations and screening campaigns tracked?
The infirmary records each dose, one at a time or through bulk entry by class; the booster date is calculated automatically and parents are reminded 7 days before and on the day. The vaccination coverage page gives the share of up-to-date students, per class, and the list of overdue boosters. Screening campaigns (vision, hearing, dental, nutrition) target classes and are entered in bulk; parents of a student marked as a detected case or referred are notified, and each parent reads their child's results (type, result, observations, referral) in “Health” → “Screenings”, on the web as in the app. Parents also view the vaccination record in their space.
How are recurring treatments handled?
For a student with a medical record, the infirmary describes the treatment (dosage, days, times, period) and the app schedules the day's doses, shown in today's doses. Each dose is marked given, missed or refused. The parent sends their authorization from their space with the signed document; while it is missing, a badge warns the infirmary without blocking the dose. The parent is notified when a dose is given and sees the history of the last 30 doses.
Does the nurse have the web, or only the app?
Both, with the same account. On the web, the nurse works in the GO4SHEALTH module; in the app, in the “Infirmary” space. The nurse and the head nurse share the same space, attached to the complex: they see the students of every school, and in the app a selector offers “Whole complex” or a school. The access log is open to both.
Can the nurse's rights be reduced?
Yes. By default, the nurse has the head nurse's rights on every GO4SHEALTH row (records, visits, emergencies, pharmacy, medication requests, treatments, vaccinations, screenings, documents). Each school can take some away in its role matrix, row by row: read, create, update, delete. The web and the app apply the same rights; in the app, the refused buttons are hidden. The access log does not depend on the matrix: it stays open to the infirmary.
What happens when the infirmary sends a student home or to hospital?
When the visit is closed, the parents are told by notification and SMS, and the student's absence is recorded automatically, excused (illness): in secondary, one absence for each session of the class still to come that day; in nursery and primary, one absence for the day. Parents get no second message for this absence. The head of the school (and its variants), the censor and the discipline master are told by e-mail and notification: name, class and time of departure, nothing medical.
Can the infirmary's data be exported to Excel or PDF?
Yes: the visit register, the vaccination coverage, a screening campaign's report and the statistics over a period each have “Excel” and “PDF” buttons, which keep the filters chosen. Each export is noted in the “Access log”, row by row, with the “Export” action.
How do I print an emergency sheet for a school trip?
In GO4SHEALTH, “Medical records”: the “Emergency sheet” button of a student's record prints as PDF their blood type, allergies, chronic conditions, people to call and attending doctor. At the top of the list, “Emergency sheets of a class” prints those of every student of the class who has a record. Each print is noted in the “Access log”. These sheets are confidential: collect them after the trip.
What is the cashier's space?
The cashier’s space is used to collect school fees at the counter, in front of the payer. Its “Home” shows the search (name, registration number or “Scan the card”), the first students who still owe, what the desk collected today, the cash in the desk against its cap, “Good to know” (what to do before closing, your last remittance, your cancellation requests) and the last receipts. The cashier opens the student’s sheet, collects one year of one fee type and prints the receipt in two copies. They then close their day, count it and remit what they took, following the steps the school kept in GO4SFEES › “Cash desk rules”. Menu: Home, Collections, Register a student, My day, Remit, My days, Movements, Report an incident; on a tablet, a bar of icons, and on a phone, a bar at the bottom. The space also exists in the mobile app (“Cashier” profile).
Who can enter the cashier's space?
The person who holds a collection desk that day: its holder, or the day's replacement. The “Cashier” role is given automatically to the holder of a desk, and that role needs the GO4SFEES “Collection” right (Roles and permissions). During a replacement, only the replacement collects. A desk belongs to a single school; a cashier who holds desks in several schools moves between them through the role selector.
How do I collect a deposit made at a mobile operator (Orange, MTN, Express Union, Wave)?
In the “Collect” window, choose “Mobile deposit” (the desk must accept it, setting “Accepted payment methods” in GO4SFEES › Cash desks). Type the “Deposit reference”, required and unique, attach the photo of the operator’s receipt if you have time (optional) and choose the “Mobile account credited”, an Orange, MTN, Express Union or Wave account of the school (declared in GO4SFEES › Treasury accounts). The receipt says “Paid” at once: there is no acknowledgement of deposit any more. The money does not go into your drawer; the bursar checks that it reached the account, outside the app. Money received directly on the desk’s number is a “Mobile payment”, not a deposit.
How do I collect a bank transfer the parent already made?
The parent transferred the money to the school’s account and brings the transfer slip to the counter. In the “Collect” window, choose “Bank transfer” (the desk must accept it, setting “Accepted payment methods” in GO4SFEES › Cash desks). Type the “Transfer slip no.”, required and unique in the school, attach the photo of the slip if you have time (optional) and choose the bank account credited, among the accounts declared in GO4SFEES › Treasury accounts: with no bank account, a transfer cannot be collected. The receipt says “Paid” at once: there is no acknowledgement of deposit any more. The money does not go into your drawer; the bursar checks the account outside the app. A bank deposit (deposit slip) follows the same rule. The mobile app offers the same fields.
How do I collect a payment at the desk?
From the “Home”, search for the student by name, first name or registration number, or scan their card (camera or USB scanner). Their payment sheet has one tab per fee type (tuition, registration, exam…) and, in each tab, one block per school year: “Amount due”, “Discount”, “Total paid”, “Balance due”; “See the detail” shows the instalments and the payments already made. Arrears are therefore in the same tab, on the block of the past year. Click “Collect” in the block of the year being paid: a window opens. Type the amount received; it spreads over the year’s lines, from the oldest to the latest, and each line can be corrected, never above what is left on it. Choose the payment method accepted by the desk, then “Collect” (or “Keep in the invoice”, if the desk allows it, to gather several children on one receipt). No payer to type: the receipt is in the name of the student's priority parent, who gets the SMS (in the student's name, with no SMS, when they have no parent). The receipt shows at once, ready to print in two copies. Discounts and payment plans granted by the bursar are shown; they are never changed at the desk. A confirmed collection is never changed: a mistake is corrected by a cancellation, then a new collection.
What does the confirmation show before collecting?
Before saving, a window asks “Confirm this collection? It cannot be changed afterwards.” Above the buttons, “Amount to collect” gives the sum in large green figures, read from the form at the moment of the click, a small line under it says for whom (the student, or the receipt) and by which method, then “Receipt made out to …” names the receipt's payer: the student's priority parent, the student without a parent, or the payer typed for a receipt without a student. Read it back with the payer: “Cancel” returns to the form without saving anything. The same confirmation shows at the desk (“Collect”, the invoice of several children, off-scale) and in GO4SFEES › “New collection”, “Another receipt” included.
How do I cancel a collection, and who is told?
On the receipt (from “Collections” or right after the collection), while your day is open: “Cancel this collection”, with a reason. The cancellation is done at once, the fee is due again, the parent is told and the receipt carries the red “Cancelled” pill: give the money back to the payer. The bursar has nothing to decide and gets no notice. At a desk set to “Cancelling a receipt needs the bursar's agreement” (GO4SFEES › Cash desk rules, card 1), the link becomes “Request cancellation”: the collection stays, with the “Cancellation requested” pill, and the bursars get an e-mail and a notification. Someone other than the cashier approves or refuses it (with a reason) in “Remittances”; your day does not close while a request is waiting, and “Good to know”, on the home, recalls the requests sent. You are told of the decision.
How do I collect a partial amount at the counter?
Just type the sum received in a year’s “Collect” window: it spreads by itself over that year’s lines, first the GO4SCHOOL fees if they are due, then from the oldest due date to the latest. You can correct each line by hand, never above what is left on it. Above what the year still owes, the amount is brought back to the maximum (“The amount is brought back to the year’s balance due.”). A partial payment asks for no reason. To pay several years, collect them one after the other, each from its block. A discount or a payment plan is asked of the bursar: the desk shows them, it does not change them. The mobile app does the same.
How do I count and close my cash day?
In “My day”, first click “Close my day”: no more collection is possible for you at this desk that day. If your school counts the cash, the desk then shows what it expects, float included; you type what you really counted (note by note when the desk is set that way), the mobile money received on its numbers and the cheques present. The difference is the gap; beyond the tolerated gap, a reason is required. If the school took the counting out (“Cash desk rules”), the day closes counted as expected, with nothing to type; if it took the validation out, GO4SCHOOL validates the day when it closes. The bursar can also close every open day at once (“Close the whole school”, in “Remittances”); you then count yours. A day left open after closing time and its delay becomes “Not counted” and blocks the desk until its late count, with a reason.
How do I remit my takings?
“Remit” only exists if your school keeps the remittance step in GO4SFEES › “Cash desk rules”; otherwise the cash is handed over by hand and the menu does not show. Once the day is closed and counted, “Remit” shows each day with its cash and cheques, works out the total, and asks where the money goes, among the destinations the school set: a named person (never you), the school’s safe, or a bank account you deposited it on yourself, with the photo of the slip. The float stays in the drawer. The mobile money received on the desk’s numbers is remitted on the same screen, by a transfer. The bursar receives the remittance and validates the day in “Remittances”, or refuses it with a reason: it comes back to you. While it waits, the bursars are reminded by e-mail and notification; “Good to know”, on your home, says whether it is “Waiting”, “Received” or “Refused”. When the desk reaches its cap, cash is refused until the remittance; a cheque, a slip or a transfer still go through.
What are cash movements and cash incidents?
“Movements” gathers the money that enters or leaves the drawer without being a collection: the float sent to your desk, whose receipt you confirm by counting it, and the provisioning of an expenses desk, which you hand over from your day. An incident (counterfeit notes, an unpaid or lost cheque, theft, loss, money that never arrived) is declared by saying what it is about — the day you are keeping, one collection, one of your days, or several days — with what you observed and, if possible, a proof; a manager then decides who bears the amount. A counterfeit note found after the parent left is never asked of them again: the family paid. A cashier never decides their own incident.
Where do I find my past days, and is the assistant available at the desk?
“My days” shows the last 30 days of your desk: what each one collected, what you counted, the gap and its status (“Open”, “Closed”, “Counted late” or “Uncounted”), with “Remitted” as soon as the remittance is declared and “Validated” once the day has been validated in GO4SFEES by someone who did not hold the desk (or by GO4SCHOOL at the close, when the school took the validation out). The Juju assistant (GO4SIA) is also available in the cashier's space, on the web and on mobile, when the school has turned it on for this space: it answers about the desks held today, collections, days, remittances and what is waiting at your desk.
Where do I find a past collection, and how do I print a receipt again?
In the “Collections” menu of the cashier's space, right under “Home” (in the app: “More › Collections”). The list opens on every receipt of the desks you keep today, newest first, whatever their day; the menu entry carries the number of the day’s receipts, and “See the …”, under “Last receipts” on the home page, opens the list on the day’s ones. On the student's sheet, “Last receipt” also reopens the last receipt of a fee for one year. Search by receipt number, the student's name or registration number, the payer's name or phone, and narrow the list by dates, payment method (Cash, Cheque, Bank deposit, Bank transfer, Mobile payment, Mobile deposit) and status (Paid, Awaiting verification, Partially rejected, Cancelled or rejected); a chip gives the number of receipts and the amount still on them. “View the receipt” opens the document itself, to print or download, with “Back to the collections” to return to the list, and its lines under it, where a line can be cancelled while the day is open; “Print the receipt” prints it in two copies, desk and parent, side by side on an A4 sheet in landscape, to cut along the dotted line (in the app: “Print (2 copies)”). The receipt sent to the family and the one they download stay a single receipt. The school's first print is the original: any later print, on the web or in the app, carries the word “Duplicate”. A receipt cancelled whole stays listed, its original amount struck through.
How do I export the list of my collections?
In “Collections”, set your filters then click “Export”: tick the columns you want (Receipt no., Date, Student(s), Class, Method, Cheque or slip number, Amount, Status; “Class” is the student's class in the year of the fee paid, else the current one, “—” for a receipt without a student; the payer and their phone are not exported; the desk and the cashier are not columns, they are written at the top of the document) and choose “Export to Excel” or “Export to PDF”. The file takes exactly the page's filters, every filtered receipt rather than the page shown only, the period chosen and the “N receipts · amount” total, cancelled or rejected lines left out. The file has the style of the GO4SFEES documents, like the “Payments journal”: the school's name and logo, the filters in words, a green band with the amount collected, and the receipts grouped by cashier when more than one person collected. In the app, “Export” offers the PDF or the Excel file with every column and the filters on screen, and shares it through the phone.
How do I print again the last receipt of a fee from the student's sheet?
On the student's payment sheet, each year block carries, once something was collected on it, settled or not, a “Last receipt” button, the receipt's number in small print underneath. It opens a menu: “Print” (the print window opens on the receipt, in two copies) and “Download” (the PDF). At the desk, a cashier finds there the last receipt of their desk; in GO4SFEES › “New collection”, the bursar sees the student's last receipt on that fee and year, whichever desk made it. Nothing shows while nothing was collected. The first print is the original, the next ones carry “Duplicate”. The student's financial statement is downloaded at the top of the sheet, with “Download the financial statement”. In the app, the year card offers the same button.
How do I choose what the school's receipts show?
Under GO4SFEES › Setup › « Receipt template ». The pupil, the payment details, the amount, the status and the number are always printed; the rest is ticked: logo, motto, address, logo as a watermark and receipt color; the blocks « Payment » (field by field), « Pupil's financial situation », « Payments of the year », « School's conditions » and « Print mention »; the parent's signature, the desk stamp dated the day and the cashier's signature; the keeping sentence, the vertical text, up to 4 school photos as a band, and the contacts printed each with its icon (e-mail, phones, WhatsApp, website, Facebook, YouTube, Instagram, TikTok). The « Default receipt language » is set too: by the pupil's section (default), « Français », « English » or bilingual; it is no longer chosen when collecting and applies to every receipt (desk, reprint, parent space, e-mail, app). The preview shows the school's latest receipt as an A4 or as two landscape copies; in a complex, tick the other schools to give them the same template. The contacts themselves are entered in « My school ».
In which language are receipts printed, and how do I change it?
A single setting decides: GO4SFEES › Setup › “Receipt template”, “Default receipt language”. By default, each receipt follows the student's section (English for an English-speaking class, French for a French-speaking one); you can also force “Français”, “English” or bilingual. The language is no longer chosen when collecting, neither at the desk, nor in “New collection”, nor in the parent space or the app: the same setting applies to the printed receipt, its reprint, the receipt sent by e-mail and the one the parent downloads.
Is a cheque or a slip handed in at the counter a payment?
A bank slip, a bank transfer and a mobile deposit are always a payment: the receipt says “Paid”, the family’s balance drops at once and they are told. There is no acknowledgement of deposit for them any more. The reference is required and unique in the school: a number already recorded is refused under its field, with the date, the time, who entered it and the receipt, and what you typed stays in place; the bursar checks that the money reached the account, outside the app. Only the cheque depends on the school’s rule, in GO4SFEES › “Cash desk rules”, card 1 “Collection”: “Paid on deposit: « Paid » receipt” or “Waiting: acknowledgement of deposit”; in the second case, the payment only counts once the cheque is seen on the account. A forged or unpaid paper is taken back through a cash incident: the family then owes the sum again, or the school accepts the loss. A proof sent online by a parent is always checked before it counts.
What does the receipt printed at the counter show?
At the top, the school's logo and name, its motto and address, then the amount, its status and the receipt number. The payer is on the « Received from … » line. Then come the payment method, the cashier and the cash desk, then a band « Learner », « Class », « Registration number », « Academic year », and the « Payment details ». « Situation on … » gives, for each pupil, the instalments fallen due and those paid here: « Deadline », « Amount due », « Total paid », « Left to pay », with their total. Beside the list of the pupil's payments in the year come the school's conditions and « Printed on … by … ». At the bottom, the « Parent's signature », the « Signature and stamp of the school » and the school's contacts. The logo, motto, contacts and conditions are entered under « My school › Edit »; what really prints is chosen under GO4SFEES › Setup › « Receipt template ». The receipt comes out in the « Default receipt language » of the « Receipt template »: by default the language of the pupil's section (English for an anglophone class, French for a francophone one), or the one the school set. It is chosen neither at the desk nor in the parent space.
Can I register a new student from the desk?
Yes, if the bursar’s office has allowed registration on your desk: the “Register a student” menu and the home shortcut then appear. You enter the student, their class (a class the desk serves), their regime for the year (“Day pupil”, “Half day” or “Boarder”), a comment and their photo if you have it, and first look for their parent by full e-mail or phone number, to link them without creating a duplicate. On confirmation, the student is enrolled for the desk’s year, their fees are generated and their desk sheet opens for collection; the bursar is told, with no validation to wait for. The mobile app takes the regime and the comment, not the photo.
A student was enrolled in the wrong class: how do I change it from the desk?
On their record, in the card of the current year, “Change class”: choose the new class and give the reason (required). The new class’s fees are billed, the money already paid follows them (first to the same fee type) and the old class’s fees are removed: the family does not lose a franc. It is all or nothing: if a payment finds no room in the new fees, nothing moves and the reason is shown. Each change keeps who made it, when, from which class and why. “Edit the record” changes the comment on the child, the regime of the year and the parent called first. GO4SBOOK’s class transfer does the same carry-over of payments, with a reason. In the mobile app, “Change class” is also on the student’s sheet.
What is the pedagogical animator's space?
The pedagogical animator follows the work of the teachers of their subject (in secondary school) or of the classes of their level (in nursery and primary school). Their space has four menus: “My subjects” (or “My classes”), the tracking of hours, syllabus and results, the teachers' statistics reports, and class visits. It is available on the web and in the mobile app (“Pedagogical animator” profile).
How does someone become a pedagogical animator?
The school's administration appoints the animators, on the web, in GO4SBOOK, pedagogical animators management menu, year by year. In secondary school, one animator per subject follows every teacher of that subject; in nursery and primary school, one animator per level follows every class of the level, their teachers and their disciplines. An appointment on the current school year gives the “Pedagogical animator” role and a notification; the role is removed as soon as the person no longer animates anything that year. If they also teach, their own courses, roll call and grades stay in their “Teacher” profile.
How does the animator track hours, syllabus and results?
The tracking screen computes live the hours taught, the syllabus progress and the results of every course of their subjects or every discipline of their classes, against the targets set by the school. The animator chooses the period, the grouping and the filters, spots the courses behind on their progression and exports what they see to Excel or PDF.
How do pedagogical statistics sheets work?
Each term, the school opens a collection of the pedagogical statistics summary sheet. In secondary school each teacher fills in their sheet per subject; in nursery and primary school the sheet belongs to the class and its class teacher submits it, on the web or on mobile. The animator gathers the sheets of their subjects or classes, reminds latecomers and, at the circuit step assigned to them by default, validates or sends back each sheet, then sends their compilation to the next level with their observation. The compilation downloads on the official template, in Excel or PDF.
How does a class visit work?
A class visit keeps a record of a lesson observed by the animator: the course or class, the date, a score for each criterion of the school's grid and written feedback. While it is a draft, only the animator sees it. Once shared, the teacher receives it, reads it and can reply.
Does the AI assistant help the pedagogical animator?
Yes, when the school has opened the pedagogical animators space and authorised the pedagogical animator role in GO4SIA, “Spaces & roles”, on the web and on mobile. Juju answers read-only, strictly within the animator's scope: their subjects or classes and their teachers, the tracking of hours, syllabus and results with lagging courses, the state of the collection's sheets and their class visits. It creates and validates nothing: it points to the screen where the step is done.
Can I record a class visit without a network?
Yes, in the mobile app. The school's grid and your list of courses are kept on the phone once you have opened the form with a network; without a network, the visit you record stays on the device and is sent as soon as the connection returns. It is the only action of the animator space that works offline: tracking, sheets and compilation need the network.
What does the GO4SINSIGHTS steering space offer?
GO4SINSIGHTS is the steering space of a school group; it replaces the former promoter space. Without any new data entry, it gathers the indicators the modules already produce, by domain (“Academic”, “Finance”, “Operations”, “Health and well-being”, “Engagement”), for the whole group or school by school. Every figure carries its period and coverage, and a module the school does not have never appears. Around these figures, the space offers “Comparisons”, “Goals”, threshold “Alerts” and “Reports” in PDF and Excel. It is open only to the “Insights” role, on the web and the mobile app.
What is GO4SPILOT?
GO4SPILOT is the space for organizations that supervise several schools: dioceses, school networks, NGOs, foundations or groups. It consolidates the data of attached schools for pedagogical, financial, HR and official exam supervision, with comparison, multi-year analysis, alerts, reports, communications, documents and inspections. The organization also manages its SMS credits (GO4SMS) and its Juju assistant (GO4SIA) there. Access is by invitation only, and each member sees only the menus of their role.
What does a pilot organization supervise?
For each attached school, the pilot tracks averages and success rates, fee collection (over the school year or the fiscal year), staff (student/teacher ratio, absences, contracts nearing their end) and official exam results. The comparison page puts schools side by side and the multi-year analysis shows how the network evolves. Alerts are created automatically when a threshold is crossed (low success, weak collection, inactive school, overcrowded classes).
What actions can a pilot take towards its schools?
The pilot generates PDF or Excel reports on the whole network or on chosen schools; they are prepared in the background and stay in the history. It sends network communications (circulars, official notes, announcements, invitations…) by email, with optional SMS, and tracks their reading school by school. It shares documents in the document library and plans inspections, with a report and tracked recommendations.
How do I manage a pilot organization's members and permissions?
In “Members”, the organization invites each person by email, gives them one or more roles and, if needed, limits their scope to certain cities or schools. In “Roles & Permissions”, system or custom roles carry a matrix of resources with four actions each (read, create, update, delete). A member can do whatever at least one of their roles allows. The audit log traces important actions.
How does GO4SMS work (credits and top-ups)?
SMS are managed in the GO4SMS module, which GO4SCHOOL switches on for the complex or the school: you only pay for the credits you buy. In “Credits & top-ups”, you buy credits by Mobile Money; they reach the balance, with the invoice, once the GO4SCHOOL team validates the order. The balance is shared by the schools of a complex when pooled, and a network organization has its own. History and delivery tracking show each movement and whether SMS were delivered. Everything is done on the web.
How do I give access to GO4SINSIGHTS?
Only the “Insights” role opens GO4SINSIGHTS, whatever the account's other roles, even a founder. The administration gives this role for the whole group or for one school, then grants domains and functions in “Roles & Permissions”, GO4SINSIGHTS module. Nothing is granted by default. A role given on a single school reads only that school.
What is the difference between GO4SINSIGHTS and GO4SPILOT?
GO4SINSIGHTS lets the management of a school group (a complex or a standalone school) steer its own schools from their modules' data; it is included by default. GO4SPILOT lets an outside organization (diocese, network, foundation, NGO) supervise the schools attached to it. It is entered by the organization's invitation, on the web.
Why wasn't an automatic SMS sent?
An automatic SMS only goes out when four conditions are met: the GO4SMS module is active, the school's global SMS switch is on, its type is ticked in the SMS notifications settings, and credits remain. As long as the global switch has never been turned on, the school sends no SMS. An SMS blocked for lack of credits is not charged and not resent after the top-up; the email and notification still go out.
What is GO4SDRIVE and how much storage is included?
GO4SDRIVE is the storage of your documents, photos and videos: report cards, receipts, student photos, attachments of messages and flash news, stories, teaching resources. It is on for everyone and includes a tier based on the number of enrolled students and staff: 10 GB up to 500, 25 GB up to 1,500, 50 GB beyond. The schools of a complex share one space; a school standing alone has its own. The GO4SDRIVE dashboard shows the space used, what is left and each school's share.
What happens when the storage space is full?
Nothing is blocked: report cards, receipts, photos and attachments still go through, even beyond 100%. GO4SDRIVE warns you: once only 15% of the space is left, the founder and the administrator see a banner at the top of the pages (orange, then red at 95%) and get a notification and an email at 85, 95 and 100%, then a reminder every week while the space stays almost full.
How do I add storage space?
With a pack of GB, one pack at a time, valid for 12 months. When 15% of the space or less is left, the GO4SDRIVE dashboard shows “Add space” with the current packs. With a running pack, you can move to a bigger pack by paying the difference prorated over the days left, and renew it by hand in its last 30 days; reminders come 30 and 7 days before the end. Payment is by Mobile Money; the space is added once the GO4SCHOOL team has checked the order, within 24 hours, with the invoice. The “Storage purchase” right is needed.
How do I free storage space?
In GO4SDRIVE, the “Files” page lists every file, grouped by school and heaviest first, with filters by school, type and name. The bin deletes a file for good, from the storage too, and the space drops at once; the record that held it no longer has a file. Heavy photos and videos are also shrunk automatically on upload.
What is GO4SANALYTICS?
GO4SANALYTICS shows who among your parents, pupils and staff really uses GO4SCHOOL: who is online, adoption class by class, the busiest hours and screens, and in a complex the comparison of its schools. The « Relancer » button opens the accounts that never signed in. The module is included and active for every school; it is read on the web, and the app counts in the figures too. The school never sees a person's screen-by-screen journey or the screen they have open, and the IP address is not kept. Visits are kept 13 months and screen details 90 days; the school can shorten these in « Confidentialité et conservation ».
What does the school see of GO4TEACH, the teachers' preparation tool?
The GO4TEACH module is included for every complex. From its space, the school opens or closes GO4TEACH to its teachers (open by default), recognises each teacher by linking them to their staff record, validates the syncs they propose (their pupils, their scheme of work, the class log) and the preparations they submit to the school library. It can also pay for its teachers' AI actions from the GO4SIA balance, with a quota per teacher, per department or for the school. GO4TEACH receives the courses, timetable and scheme of work, never marks, report cards, absences or finances.
How do my pupils link GO4LEARN to their school?
The pupil or their parent types the pupil's registration number and birth date in GO4LEARN, or a parent known to GO4SCHOOL links them in one tap; the pupil must be enrolled this year. After three failed tries, or if the record is already linked to another profile, the request goes to the school, which decides in the GO4LEARN space, « Élèves » page. GO4LEARN only receives the class, series and language, never a grade. The school sees the activity of an adult pupil, or of a minor whose parent chose to share it. It can also order subscriptions for classes, at the price families pay.
What is the Juju assistant (GO4SIA)?
Juju is the intelligent assistant built into GO4SCHOOL. It answers your questions in your own context: a parent can ask for their child's grades or absences, a headmaster can query their school's data, a cashier their desk's day, a pedagogical animator the follow-up of their subjects, a pilot their network's. It is available on the web and the mobile app, according to the activation chosen by your institution.
How do the assistant's tokens and knowledge base work?
GO4SIA is added to the subscription by GO4SCHOOL at no charge: the school only pays for the tokens Juju consumes. A welcome pack is offered when the first space is opened, then the balance is topped up by Mobile Money in “Tokens & top-ups”. Each person has a monthly cap based on their role, set in “Spaces & roles” and “People”. An adult can buy their own tokens in “My AI credits” to keep going beyond it. The administration can also add its documents to the “Knowledge base” and review exchanges in “Supervision”.
What are stories (flash news)?
Flash news (stories) are short publications (photos, videos, texts) visible for 24, 48 or 72 hours. The administration and teachers create them; teachers' posts can go through school validation. Parents view them in a single feed gathering all their children's schools; they can like them and reply privately to the author.
What is the news feed, and how does it differ from news flashes?
The “News feed” (GO4SCOM module) is the lasting feed of the school's posts: announcements, events, class photos, congratulations, with photos and videos grouped in one mosaic, which open as a carousel and can be downloaded one by one, and PDF documents (30 MB in all per post). Every post sends a notification to its recipients. The communication officer chooses the audience — parents, pupils, teachers, administration, by school, level, class or pupil — and each person finds in a single feed, on the web and on mobile, only what is meant for them. A news flash vanishes after 24 to 72 hours; a post stays in the feed, can ask for an acknowledgement, be scheduled, pinned or published as urgent. The page of each post shows how many recipients opened and confirmed it. In the school space, the newspaper icon of the top bar leads to the GO4SCOM news page, and the “Read the feed” button shows there the feed as its recipients read it, without leaving the module.
Can a post also go out on the school's Facebook Page?
Yes. First link the Page, once and for all: in the GO4SCOM sidebar, “Facebook Page” entry → “Link a Facebook Page”, log in with an account that manages the Page and choose it. Under “All schools”, it is the complex's Page; with a school chosen, the school's. Then, on the “Review” screen of a post, tick “Also publish on the Facebook Page” (for an urgent alert, on the “Audience” screen): it goes to the feed and to Facebook in one go, with its title, text and photos; each video becomes a post of its own and PDFs stay in GO4SCOM. Corrected in GO4SCOM, it is corrected on Facebook too; withdrawn, it is deleted there. A post sent to named pupils never goes to Facebook, and since the Page is public, photos of pupils need their parents' consent. Linking the Page needs every right on “News feed”; for the complex's Page, in each of its schools. The “Also publish as a Facebook story” box adds a story with the first photo (or the first upright video), visible for 24 hours. Facebook never blocks the post: with no Page linked or a Page to link again, it still goes out in GO4SCOM, the failure and its reason show at the top of its page and in the list (“Facebook errors” filter), and sending is retried once the Page is linked.
Can a news post also go out as a flash info?
Yes. On the “Review” screen (“Audience” for an urgent post), tick “Also publish as a flash info” and choose how long it lasts (24, 48 or 72 hours). On publishing, GO4SCHOOL makes a flash info for the same audience — one for parents, one for staff when the post reaches the whole staff of the school — opening on the title and the start of the text, then showing the photos and videos. Pupils have no flash infos, and photos over 5 MB, videos over 10 MB or 30 seconds and documents stay in the post; the screen says so before publishing. Withdrawing the post archives its flash infos. If the flash info cannot be made, the post stays online and its page offers “Make the flash info again”.
Can a flash info go out as stories on the Facebook Page?
Yes, when it is for every parent (the Page is public: a flash info for a class, chosen parents or the staff stays private). On step 3, tick “Also publish as stories on the Facebook Page”. Each slide becomes a story: a photo as it is, a text slide or a photo with text drawn as an image as on screen, an upright (9:16) video of 3 to 60 seconds. Sound, a video that is not upright and text written over a video stay in GO4SCHOOL; step 3 lists them before publishing, and the rest goes all the same. A story leaves Facebook after 24 hours. The flash info is always published in GO4SCHOOL: a failure or a partial send shows on its page, on its card and in the “Facebook errors” tab, with a button to send again.
How do I customize my notifications?
In your profile, “Notifications” tab, you choose for your current role the channels (Push, Email, SMS), then the categories, then each notification one by one. A padlock marks mandatory notifications, which cannot be turned off (medical emergency, payments, summons…). Settings apply to that role in all your schools; switch roles to set another one. On a phone, also check the device's notification settings, which take precedence.
What are guided tours?
A guided tour presents the screen bubble by bubble. Today it exists on the School space dashboard: it starts on its own on your first visit, can be closed at any time and replayed with the “?” button. Once seen it does not start again, except once when it is updated. The mobile app has no guided tour: its welcome screens replace it on first launch.
How does the global search work?
The magnifier in the top bar, or ⌘K / Ctrl+K, opens search from any page. In the administration space, from 2 characters, it finds your modules' pages and the selected school's data: students, classes, parents, staff, receipts, fees, expenses, stock items… A person is found by pieces of their names in any order, without accents or capitals, or by their registration number typed in full. It never shows what your rights do not allow you to see. A teacher searches among their classes and a parent among their children, from 3 characters.
How do I open Juju to teachers, parents or staff?
In GO4SIA, “Spaces & roles” page, first open the spaces you want (School, Teachers, Parents, Students, Cash desk, Pedagogical animators…), then switch on the authorized roles. A person reaches Juju when the module is assigned, their space is open, their role is authorized and tokens remain. The “People” page opens or closes access for a specific person. Nothing is open by default.
What can I do when I reach my monthly Juju quota?
Each person has a monthly token allowance offered by the school; once reached, Juju says so and the allowance resets the following month. An adult can carry on with their own tokens, bought in their profile, “My AI credits” page. These tokens are theirs, follow them from one school to another and never expire.
Can Juju act for me or see data I cannot see?
No. Juju reads, it does not act: it creates, edits, sends, collects and deletes nothing, and points to the screen where to do it. It reads only what your role can see on screen, in the school's active modules. For a role that can create communications, it can draft an announcement or an SMS, for you to review and send yourself.
What security measures protect the schools' data?
Exchanges with GO4SCHOOL go through an encrypted connection (HTTPS), and the most sensitive data, such as medical records and messages, is encrypted in the database. Access is governed by per-role and per-school permissions; each consultation of health data is traced in an access log. Changes to important records are kept in a history saying who changed what and when.
How do I recover my forgotten password?
Click “Forgot your password?” on the login page and enter your account's email address. You receive an email with a link, valid for 6 hours, to choose a new password. The link is always sent by email: if your account has no email address, ask your school's administration: from the “Users” menu of the GO4SANALYTICS module, it can give you a new password on a credentials sheet.
My phone number is also another account's: which one opens when I sign in?
You sign in with your e-mail, your phone number or your matricule. A number may belong to several accounts (a family, a parent who is also on the staff): the account whose password matches is the one that opens, on the web and in the app. The password received by e-mail when the account was created, or after a reset by the administration, therefore works at the first try. If two accounts share a number and the same password, sign in with the e-mail or the matricule instead, which belong to one account only.
A new member of staff did not receive their credentials: what should I check?
When the “Give platform access to this staff member?” box is ticked, saving the record creates the account and sends “Welcome to GO4School”: the login identifier, the temporary password, the school (or the complex) and the role or roles given. First check the record's e-mail: without a real address, the message goes to a technical address and reaches no one. The phone number is also used to sign in: it is refused on the form when it already belongs to another account; if it is the same person, type the e-mail of their account to link the record to it. Lastly, each “Reset password” creates a new password and cancels the previous one: handed over as a PDF and then by e-mail, only the last one works.
Why does my dashboard not show the same blocks as a colleague's?
“General Statistics” only shows the modules granted to your role and active for the school. Its “Overview” shows one card per module, and only if your role can open that module's dashboard. With a single module that has its own dashboard (GO4SCOM for instance), you land right on it and the menu does not offer “General Statistics”. With no module at all, the page shows “No module is open to you”: ask the administrator of your school to grant permissions to your role (GO4SCONFIG › Roles and permissions). In a complex, a role that cannot open the “My complex” space finds its GO4SCOM, GO4SRH or GO4SPAYROLL modules in the school menu.
What does the General Statistics overview show?
“General Statistics” opens on the “Overview”. At the top, “To handle today” lists what waits in your modules (students behind on payments, entries to validate, report cards to generate…), each line leading to the module; with nothing waiting: “Nothing waits today in your modules.” Below, one card per module of your role, arranged in “School life”, “Finance”, “Complex services” (canteen, health, transport, for a school of a complex of several schools) and “Cross-cutting services” (a one-line tile). Each card takes the main figure and two figures of the module's dashboard, for the school of the top bar, with an orange badge when something waits and “Open →” to the module. Figures are kept five minutes. The page records nothing: a money income or expense is entered in its module (GO4SFEES, GO4SXPENSE, GO4SPAYROLL or GO4STOCK). The former “Teaching” and “Finance” views are gone: their blocks are on the modules' dashboards — “Today”, “Academic Performance”, “Alerts & Required Actions” and “Calendar” in GO4SBOOK, documents by type in GO4SDOC, messages in GO4SCOM, treasury and transactions in the GO4SFEES “Cash flow”, collection and deadlines on the GO4SFEES dashboard, financial alerts on the GO4SFEES, GO4STOCK and GO4SXPENSE ones.
Which browsers are supported by the platform?
GO4SCHOOL is compatible with all modern browsers: Google Chrome, Mozilla Firefox, Safari, Microsoft Edge. For an optimal experience, we recommend using the latest version of your browser.
How do I contact technical support?
Write to us from the website's “Contact” page (choose technical support), by email at [email protected] or on WhatsApp. Live chat is also available on the website and in the web spaces; the mobile app has none. The team is available Monday to Friday, 8 am to 5 pm (GMT+1), Saturday by appointment. For grades, fees or enrollments, contact your school first.
Is the platform accessible on mobile?
Yes. The website adapts to phones, and the GO4SCHOOL app is available on Android and iOS. It covers parents, students, teachers, pedagogical animators, cashiers, drivers, catering, the infirmary, sector supervisors and steering (GO4SINSIGHTS), plus a staff attendance Kiosk mode using QR codes that works even offline. A user can hold several roles and switch between them without logging out. School administration and the GO4SPILOT space stay on the web.
How do I manage several schools in the same system?
GO4SCHOOL supports a multi-tenant architecture. Each school has its own separated and secured data. Users can have different roles in several schools and easily switch between them through the interface. School complexes and pilot organizations additionally have consolidated views.
How do push notifications work?
GO4SCHOOL sends real-time push notifications through the mobile app. You are instantly alerted for important events: new grades, absences, payments, communications, bus boarding, health emergencies. Each notification opens the relevant screen directly, and every user can customize their preferences from their profile.
How do I export my school's data?
In GO4SDOC, “Data” group → school exports, you choose the year, the format (PDF, Excel or CSV), the language and the data sets to extract: students, grades, report cards, staff, payments, receipts and cash days, expenses, entries, news feed, notifications, transport, health, catering, accounts and roles… Each set gives its own file, prepared in the background; you follow progress and then download one file or everything as a ZIP. No notification announces the end: the export appears in the export history.
I created my account but I see no school. Why?
An account you create yourself is not linked to any school: you land on the welcome page until the school links you to your children or its classes. Give the school your account's email address or phone number; once it links you, you reach your space at your next sign-in. In the app, the same page appears for an account that only holds administration roles: use the website instead.
